Job description

Part-Time Bookkeeper & Budget Analyst for a woman owned and operated medicinal herb farm in Geneseo, NY.


The farm operates in a few key areas:

CPG - developing our own products from the farm

Events - tours, wellness retreats

A residence - the farm is home


We need help with finance organization and management across the board. E.g. payroll for staff, quickbooks everything, and building a clear picture of our burn rate and a budget to keep us on track.


Core Responsibilities

  • Own day-to-day bookkeeping in QuickBooks (Farm file + related entities): reconciliations, journal entries, AP/AR, class and project tracking.
  • Maintain clean monthly closes: reconcile bank/credit accounts, verify COGS, inventory adjustments, and accruals.
  • Build and manage rolling budgets and cash-flow forecasts; flag variances and recommend course corrections.
  • Prepare clear monthly finance packets: P&L, Balance Sheet, Cash Flow, budget vs. actuals, and simple insights.
  • Handle vendor setup, bills, payments, and 1099s; keep W-9s on file and organized.
  • Coordinate lightly on payroll inputs (hours, stipends, reimbursements) with our payroll provider.
  • Track sales tax obligations and file on-time; maintain compliance calendar for key deadlines.
  • Support basic grant or lender reporting with accurate, exportable data from QuickBooks.
  • Improve our finance processes: tidy chart of accounts, naming conventions, document workflows, and checklists.
  • Safeguard financial data and maintain orderly digital records.

Qualifications/Skills

  • 3+ years of hands-on bookkeeping experience; strong command of QuickBooks Online (multiple companies/classes).
  • Comfortable with GAAP basics for small business; knows when to ask a CPA.
  • Proven skill with budgeting, cash-flow modeling, and Excel/Google Sheets (lookups, pivots, simple scenarios).
  • Detail-hawk who loves clean reconciliations and catching the $0.37 errors.
  • Clear communicator who can turn numbers into decisions for non-finance teammates.
  • Experience in agriculture, CPG, or small manufacturing is a plus.
  • Familiar with sales tax filings, 1099 prep, and light payroll coordination.
  • Organized, discreet, reliable; able to set priorities and hit recurring deadlines in a part-time cadence.
