We are seeking a Procurement Specialist on a contract basis to support our Customer's business needs. This role is 100% remote and must work PST hours.



Responsibilities:

  • Support the technical management, configuration, and maintenance of procurement platforms (Coupa). Ensure system reliability and scalability through proactive performance monitoring and bug resolution.
  • Ensure compliance with internal policies and external regulations by managing configuration controls and delivering accurate reporting.
  • Provide comprehensive support to end-users while resolving system-related issues.
  • Support procurement systems team as POC for cross-team communication.
  • Provide user support for Coupa related issues (not technical support or system implementation).
  • Investigate procurement/Coupa process errors (e.g., PO–invoice mismatches) and escalate to tech team.
  • Use Excel (pivot tables, formulas) for data analysis and reporting.
  • Work with procurement FTE to ensure smooth daily operations.
  • Expected to document issues (e.g., screenshots), communicate with users, and follow through to resolution.
  • Coupa experience required; strong understanding of procurement processes.
  • Collaborate across teams to analyze business workflows, identify areas for process optimization, and implement innovative system features that align with evolving business objectives.
  • Provide support, maintenance, and configuration for procurement software and IT systems, including platforms like Coupa.
  • Support system upgrades, proactively monitor performance, to ensure system stability and efficiency.
  • Assist in the automation of procurement processes within the procurement system to enhance efficiency and reduce manual effort.
  • Ensure adherence to internal policies and external regulations by effectively managing configuration controls and generating essential reports.
  • Deliver ongoing support to end-users of the procurement systems, addressing inquiries, resolving issues, and providing guidance on system usage.
  • Analyze and document user and business workflows to identify opportunities for optimizing procurement processes and improving data mapping.
  • Collaborate on the design and implementation of new system features and functionalities to effectively meet evolving business needs.
  • Strategically validate and optimize procurement requests to ensure accuracy and compliance.
  • Review contracts to cross-reference contract value, item type, currency, service dates, payment terms, and billing.
  • Partner with Supplier Data Management teams to ensure accurate and timely supplier/pay site creation and management.
  • Implement and monitor quality checks to ensure procurement tasks meet compliance and accuracy standards.
  • Review PO interface reconciliation reports daily and collaborate with Technology teams to resolve interface errors.
  • Support management with reporting, including aging reports for pending requests across Swift, Coupa Triage, Buy Desk (PR & POCR), and Oracle systems.
  • Guide requesters on successful submission processes.
  • Validate PRs and POCRs for completeness and apply advanced sourcing triage tagging for consistency.
  • Confirm submitted requests meet sourcing threshold criteria and recommend process improvements.
  • Assign 3PRM leads through a strategic taxonomy review to optimize risk assessment.
  • Leverage triage reporting to drive data-backed sourcing project assignments.
  • Maintain end-to-end accountability for the sourcing triage process.
  • Mentor and develop Procurement Buy Desk Advisors, fostering a culture of continuous learning and improvement.
  • Drive process optimization initiatives and ensure the adoption of best practices across procurement workflows.


Skills and Qualifications:

  • Strong technical skills in administering and configuring various procurement software and IT systems.
  • Demonstrated ability to analyze system performance, accurately identify configuration issues, and recommend effective corrective actions.
  • Proven aptitude for diagnosing and resolving complex system issues and providing comprehensive technical support.
  • Excellent communication skills, both written and verbal, to effectively support users and collaborate seamlessly with cross-functional teams, including IT and finance.
  • Solid knowledge of the full procurement lifecycle, encompassing sourcing, contracting, and purchasing.
  • Possess superior critical thinking skills and demonstrate sound judgment in complex decision-making and multifaceted problem-solving in cross-functional environments.
  • Highly adaptable and resilient as processes adjust during organizational transformation, acting as a change agent.
  • Advanced Excel experience required.
  • Extensive Coupa experience preferred.
  • Exceptional stakeholder-facing skills, with confident and persuasive communication abilities.
  • Strong background in sourcing, procurement operations, and contract review.
  • Advanced Excel skills required.
  • Ability to act as a change agent, resilient and adaptable to organizational transformation.
  • Demonstrated success in process optimization and continuous improvement initiatives.
