Job description

Title: Accounting Manager
Hours: ~ 30 hrs/wk, company would like to offer flexibility in hours to accommodate family priorities
Salary: $62,400/yr - based on 30 hrs/wk. Alternatively, this can be an hourly role @ $40/hr
Location: Malvern, PA | Hybrid
Flex-Factor:

  • This role can be hourly, or salaried depending on candidate needs
  • There will be more in-office during the initial onboarding with ability to be 50% WFH after the onboarding period


Our client is a construction equipment rental company located in Malvern PA, and looking to add a part-time Accounting Manager to their team! This role will manage the accounting needs of two companies that fall under the parent company.

The ideal candidate has experience working with Sage 300 and Concur, and RentalMan, TimberScan and Procore experience is preferred, but not required.

Company 1: Is a $8-$9M dollar revenue company servicing the needs of construction sub-contractors in Philadelphia and the immediate suburbs. The Company rents its own fleet of equipment and re-rents fleet from Sunbelt and other rental companies if there is demand for a rental that we either do not own or their current fleet is already rented.

The company also rents other construction type items such as office trailers, propane heaters, fencing and other like kind products.

The accounting manager job involves the following functions:

  • Ensuring that accurate invoicing gets done within the RentalMan software system. This includes ensuring that all invoices are capturing the type of rental that is taking place. By way of example fleet rental, re-rental, non-equipment construction site rentals or miscellaneous sales.
  • Share in the responsibility of accounts receivable collection, if necessary.
  • Ensuring that all 3rd party invoices (accounts payable) get entered to the accounting system and those invoices that pertain to re-rentals are subsequently billed to its customers as re-rentals. It is important that the company maintains a timely and accurate cutoff especially as it pertains to re-rentals.
  • Execute monthly closes of the general ledger including the reconciliation of the general ledger accounts to subsidiary accounts and producing monthly financial statements in accordance with GAAP. Such financial statements should be completed within 3 weeks after month end.
    • Such reconciliations include cash, accounts receivable, accounts payable.
  • Ensuring all month end accruals for 3rd party equipment have been made thereby guaranteeing that expenses for equipment re-rented matches the revenue earned.
  • Maintaining the fixed asset equipment rental ledger. This includes recording all new purchases, accurately calculating depreciation and the appropriate accounting if the equipment is sold.
  • Ensuring all SG&A expenses get coded to the appropriate general ledger account.
  • Executing a weekly check run for all invoices to be paid.
  • Assisting with the creation of dashboard operating metrics on an as asked basis.
  • Process monthly sales tax payments
  • Reconcile monthly charges on company AMEX

Company 2: Founded in 2023, we are a $3-$4M Tri-state Material | Specialty building products ( in the Mid-Atlantic region) distributor of specialty building products (Division 10 Products) such as toilet partitions, lockers, washroom accessories, shower doors , lockers and mailboxes.

For the most part, the Company sales are one-time large shipments of Division 10 Products. It is a low volume business and, by way of example, in 2024 there will be less than 100 invoices required.

The accounting manager job involves the following functions:

  • Ensuring that accurate invoicing gets done in the SAGE accounting system and in accordance with the directions we Tristate Materials receives from its general contractor customers.
  • Share in the responsibility of accounts receivable collection, if necessary.
  • Ensuring that all 3rd party invoices (accounts payable) get entered to the accounting system, marry up to a purchase order for received product and get paid upon approval by senior management. Note: certain product may get drop shipped to a construction site. Controls will have to be established to reconcile drop shipments to 3rd party invoices.
  • Execute monthly closes of the general ledger including the reconciliation of the general ledger accounts to subsidiary accounts and producing monthly financial statements in accordance with GAAP. Such financial statements should be completed within 3 weeks after month end. Note: Management may decide for the interim that quarterly financial statements are sufficient.
    • Such reconciliations include cash, accounts receivable, accounts payable, Job Costs.
  • Ensuring all SG&A expenses get coded to the appropriate general ledger account.
  • Executing a timely check run for all invoices to be paid.
  • Assisting with project-by-project profitability analysis on an asked basis.
  • Prepare monthly Work In Progress report.
  • Process Sale and Use Tax
