Job description

We are a professional research society established in 1933 by the National Research Council of the National Academy of Sciences. We are dedicated to serving as a respected source of scientific knowledge about human development and the application of this knowledge to policies and practices for improving human well-being. Its membership of more than 5,700 scientists is representative of the various disciplines and professions that contribute to the production and use of knowledge about child development.

With fewer than 20 dedicated employees, we are seeking a highly motivated and detail-oriented Part-time Accounts Payable/Accounts Receivable Associate to join our team and support our mission. Position Overview:

As an AP/AR Associate, you will collaborate across multiple departments to oversee the cash flow cycle, ensuring accurate accounting of customer and vendor transactions. This part-time role is ideal for an individual with finance and accounting experience seeking a position that harmonizes with work/life balance. You will work closely with the outsourced financial contractor, executive team, and various department directors.

Major Duties and Responsibilities:

  • Process checks mailed to the office, scanning in checks and associated documentation.
  • Make bank deposits.
  • Assist in reviewing financial transactions for appropriate coding.
  • Utilize Bill.com and DEXT.com to track payments and receipts, ensuring they are coded appropriately.
  • Create, track, and process invoices.
  • Process requests for reimbursement with approval from respective department heads.
  • Collaborate across departments to ensure the accuracy of customer invoicing.
  • Collaborate with internal teams to gather financial information and address inquiries.
  • Serve as liaison between the team and the outsourced financial contractor.
  • Handle customer communication and resolve invoice discrepancies.
  • Accurately process vendor payments.
  • Assist in the month-end close process through reports preparation and account reconciliation.
  • Pull reports from the membership database and financial systems as required.
  • Assist with ad hoc projects and perform other duties as assigned.

Qualifications:

  • Bachelor’s degree in finance or accounting, preferred for a professional membership organization (501c3).
  • Proficiency in MS Office (Excel, Word, Outlook, PowerPoint) and ability to quickly learn other software packages.
  • Proficient in QB Online, DEXT.com, Bill.com, and Authorize.net (or similar payment processors).
