Job description
Our Customer is an American financial services mutual organization based in Milwaukee. The financial security company provides consultation on wealth and asset income protection, education planning, retirement planning, investment advisory services, financial planning trust and private client services, estate planning and business planning. Its products include life insurance, permanent life insurance, disability income, and long-term care insurance; annuities; investments; and investment advisory products and services.
Our customer is looking for a Administrative Assistant on a contract basis to help support their ongoing business needs. This role is onsite, 5 days a week, 8am to 5pm in Milwaukee, WI.
Administrative Assistant
Provides administrative and operational support to the Strategic Communications team, helping the team stay organized and operate effectively in a fast-paced environment. This role requires strong organizational skills, attention to detail, sound judgment and the ability to manage multiple priorities with professionalism and discretion.
Primary Responsibilities
- Manage calendars and coordinate meetings, including scheduling participants, reserving meeting space and arranging technology or other meeting needs.
- Coordinate business travel and prepare and process expense reports.
- Draft and format routine correspondence, meeting materials and other documents using Microsoft Office applications.
- Respond to routine questions and requests, researching or gathering information as appropriate.
- Compile information and prepare or organize materials for meetings, presentations and other team needs.
- Provide day-to-day administrative and operational support to the team, including helping manage changing priorities and time-sensitive requests.
- Welcome and assist visitors and internal partners in a professional manner.
- Maintain appropriate confidentiality when handling sensitive information and communications.
- Provide backup administrative coverage as needed.
- Assist with special projects and other administrative needs as assigned.
Qualifications and Skills
- Strong organizational skills and demonstrated ability to manage multiple priorities and deadlines.
- Proficiency with Microsoft Office, particularly Outlook and Word.
- Strong written communication skills, including attention to grammar, spelling and proofreading.
- Demonstrated attention to detail and accuracy.
- Ability to work independently, take initiative and follow through on assignments.
- Strong interpersonal skills and professional judgment when working with leaders, employees and other partners.
- Ability to handle confidential or sensitive information with discretion.
- Comfortable working in a fast-paced environment where priorities may shift.
