Job description

Job Title: Accounting/Administrative Assistant
Job Type: Part-Time, Hourly
Department: Accounting
Reports to: Controller
Location: Hybrid/Flexible (exact hours/days TBD)

Summary:
The client is a growing property management company specializing in third-party
management of commercial properties. The Accounting/Administrative Assistant will work under the general direction of the Controller yet support
both accounting and property management. The ideal candidate will have experience in bookkeeping or accounting, particularly working knowledge of accounts payable and accounts receivable, possess a strong attention to detail, have excellent organizational skills and be familiar with Excel, Outlook and
AppFolio.

Key Job Responsibilities:

  • Assist with accounts payable as assigned by ensuring the timely and accurate processing of invoices and payments
  • Review utility bills and record automatic recurring payments in AppFolio on a timely basis
  • Maintain an organized electronic filing system
  • Assist with accurate recording of rental receipts and remote deposit of checks in trust accounts
  • Assist property management with payment issues and interact with vendors to resolve discrepancies and c such as lost checks or delayed payments
  • Request W9s as needed
  • Perform monthly bank reconciliations for assigned portfolio while adhering to strict deadlines
  • Work closely with Controller and Property management to support the budgeting and reconciliation process
  • Process mail and complete other administrative tasks/special projects as needed
  • As requested, assist in the collection and recording of gross sales and insurance certificates

Minimum Requirements:

  • High school Diploma or equivalent. Associate or bachelor’s degree in accounting or related field (preferred)
  • One to two years of prior bookkeeping or accounting experience
  • Strong attention to detail
  • Familiar with Microsoft Excel and Outlook. AppFolio experience preferred but not mandatory
  • Strong organization and time management skills
  • Excellent communicator with a collaborative mindset and the ability to work independently

Compensation and Benefits
- Salary range: $25-28/hr. depending on experience
- 10 paid holidays and 30 hours of PTO (prorated for 2025)
