We are seeking an Administrative Assistant on a contract basis to provide analytical and specialized administrative support to relieve executive, administrative, and line and staff managers of complex details. Executes routine research and data analysis tasks, and captures information during leadership meetings in order to ensure adequate minutes are kept. Coordinates activities between departments and outside parties. Contacts company personnel at all organizational levels to gather information and prepare reports. Work is generally of a critical or confidential nature. Assignments may be found in various functional areas across the organization. This role will be onsite in Santa Clara, CA.
What You’ll Do:
- Support Chapter Area Lead of Computational Sciences and Informatics (CSI) and other CSI senior leaders with a variety of routine to advanced administrative and operational activities
- Schedule and coordinate onsite/offsite meetings and/or large-scale events
- Coordinate domestic and international travel and conference calls
- Channel communication and /or materials
- Coordinate interview schedules, office supply management, and vendor relationships
- Create and submit purchase orders and compile expense reports
- Provide support on editing and formatting departmental documents such as memos, reports, presentations and legal documentation that may require data gathering from multiple components
- Streamline and reduce unnecessary administrative or operational burdens from managers and other team members
- Represent the department in a highly polished and professional manner
- Work on assignments requiring considerable judgment and initiative while maintaining confidentiality
- Understand the implications of work and make recommendations for solutions
- Other duties as assigned by management
Must Haves:
- 3-5 years of relevant working experience
- Working knowledge of Gmail and other Google software (Google Sheets, Google Docs, etc), Word, Excel, PowerPoint, Access and related office software programs
- Excellent detail and organizational skills
- Strong communication skills
- Experience managing multiple tasks and assignments
- The ability to exercise confidentiality
Education:
- A Bachelor’s degree preferred
Hours & Location:
- M-F, 40 hours/week. This role will be onsite in Santa Clara, CA.
