Our Customer is an American computer and consumer electronics company famous for creating phones and computers. As one of the largest companies globally with a market cap of over 2 trillion dollars, it is a major leader in the space. Although this company was founded in 1976 it has transformed how we connect and communicate worldwide.
We are seeking an Administrative Assistant on a contract basis to support their business needs. This role is a hybrid setup with 3 days onsite and 2 days remote in Culver City, CA.
What You’ll Do:
- Manage various executive calendars, ensure there is a manageable workflow throughout day-to-day meetings
- Arrange travel including booking flights, accommodation, and transportation
- Organize and manage daily lunch arrangements for the executive team
- Prepare and organize materials for meetings and presentations
- Manage conference rooms to ensure all teams have a meeting space to properly conduct meetings while onsite
- Take meeting minutes and provide and disrupt high-level summaries
- Coordinate and manage special projects and initiatives
- Track and manage expenses, invoices, and reimbursements, with some assistance in budget maintenance
- Draft and edit internal communication and announcements
- Support Executive Assistant with onboarding new hires within all systems
- Ensure the office is well-stocked with necessary supplies
- Ad hoc assistance with snack distribution for Music Campus as needed
- Manage tech equipment place orders as necessary, oversee shipping and receiving, as well as maintain inventory levels of tech equipment and office materials
- Act as a liaison between other cross-functional business units and departments such as Global Security and Facilities
- Providing onsite support to the larger Content and editorial team by submitting and overseeing facilities-based tickets for the office, including both interior and exterior building service requests
- Greet and assist any onsite guests
- Planning and organizing all team-related events
- Event support on-site as needed across Music internal and external events, as well as support with in-office day-to-day needs and activities when necessary
- Coverage for Senior Director’s calendar when Executive Admin is OOO
Must Haves:
- Minimum 6 years of relevant experience working as an assistant in the entertainment industry or a creative agency
- Exceptional organizational and time-management skills with strong attention to detail while working under tight deadlines
- Excellent written and verbal communication skills
- Passionate about organization excellence and adept at establishing efficient procedures and protocols to streamline processes and workflows
- Thrives and actively engages in a collaborative work environment
- Highly skilled at handling multiple tasks in a fast-paced and dynamic day-to-day
- Able to build and innovate on ways the team’s workload is tracked and anticipate circumstances and complications that need to be problem-solved
Education:
- A Bachelor's degree or equivalent work experience preferred
Hours & Location:
- M-F, 40 hours/week. This role is a hybrid setup with 3 days onsite and 2 days remote in Culver City, CA.
