Administrative Assistant for Financial Services Firm
$55,000+ (based on experience) per year plus annual bonus
Location: Phoenixville, PA - Onsite


POSITION and BUSINESS SUMMARY

As the company grows, they expect and encourage employees to grow as well, both personally and professionally. They are currently recruiting for an Administrative Assistant role. This position will work in tandem with 3 other office admins and will be responsible for leading and overseeing the successful operations of the office and its employees. The position will be based in Phoenixville, PA with the expectation of in-office hours between 8:00 and 4:30.

The ideal candidate will have a problem-solving mindset, who is not afraid to tackle day-to-day challenges. The candidate should possess excellent communication skills and love the reward of servicing office staff and clients.

DUTIES AND RESPONSIBILITIES

  • Field incoming service-related telephone calls
  • Client Meeting Preparation utilizing Excel and Morningstar software
  • Operating office technology including setting up webinars/Zoom meetings & Redtail CRM
  • Conducting office management, scheduling maintenance, and contracts for office equipment & software
  • Assisting financial agents and staff as needed with day-to-day tasks
  • Ensuring a pleasant work environment for employees and financial advising partners
  • Ordering client gifts & flowers, Christmas cards & calendars
REQUIRED SKILLS AND COMPETENCIES
  • In-office experience
  • Background in Office Operations and Administrative Support
  • Ability to think forward & adapt to changes within the office
  • Strong written and verbal communication skills
  • Organization skills and the ability to multitask to complete a wide variety of tasks
  • Flexibility to help adjust to new tasks should company or office needs change
  • Strong interpersonal skills to interact positively with all employees
  • Proficiency in Microsoft Office 365, particularly Excel and Outlook
