Job description
This role is 100% remote, located in Chicagoland Area**
Our Client is looking to hire an Administrative, Operations, or Program Assistant to their team to provide support across departments. The ideal candidate will be extremely detail oriented, creative, energetic, curious, and born to multitask. The ideal candidate will be able to ask the right questions to understand scope of projects and move projects along expeditiously. Experience as a remote worker is essential.
Core responsibilities
- Help manage administrative tasks for the senior staff
- Answer or route requests and queries received in the Contact Inbox
- Perform data entry and updating (Salesforce)
- Invoicing (QuickBooks)
- Provide user support for online learning system (Talent LMS)
- Assist with internal meetings and appointments, including meetings of the Board of Directors, both virtual and face to face
- Work with CEO to understand requirements (location, meeting space, number of days, A/V). Handle person to person communications to efficiently schedule meetings. Make all meeting arrangements: Travel, lodging, hospitality, entertainment, etc. Track expenses and manage budget.
- Assist with external meetings and institutes: Work with Marketing and Programs to understand requirements (location, meeting space requirements, number of days, presentation requirements). Research available venues and collect costs. Finalize venue, hospitality, A/V, and logistic details. Track expenses and manage budget.
- Produce reports, presentations, and briefs as directed
Qualifications/Skills
- 5 to 8 years experience as an administrative assistant, executive assistant, program manager, or operations manager
- Proficient in Google apps (doc, sheets, calendar, email)
- Proficient in Microsoft apps (.xls, .doc)
- Proficient in Data entry and database maintenance (Salesforce preferred)
- Proficient in QuickBooks and Intuit apps (QuickBooks Time, MailChimp)
- Working knowledge of Video editing apps
- Working knowledge of Adobe Acrobat (mastery of other Adobe apps is a plus)
- Exemplary planning and time management skills
- Strong experience working in Zoom and other conferencing and webinar platforms
- Up-to-date with advancements in office gadgets and applications
- High level verbal and written communications skills
- Able to maintain a regular and reliable schedule
Compensation
- 30.00 to 40.00 per hour depending on skill range and experience.
- Participation in 401K plan
