Job description
Job Summary:
The Executive Administrator provides high-level administrative support to the firm. This role requires exceptional organizational skills, attention to detail, and the ability to manage multiple tasks effectively. The Executive Administrator is responsible for ensuring smooth operations and facilitating effective communication between the entire time, as well as the clients.
Responsibilities to include:
- Calendar and Schedule Management:
- Coordinate client meetings, include adding to RedTail and providing agenda to clients prior to meeting
- Maintain RedTail calendar for advisors
- Communication and Correspondence:
- Serve as the primary point of contact for client communication
- Manage phone calls, emails, and other forms of correspondence, ensuring prompt and professional responses
- Travel Coordination:
- Arrange travel itineraries, including flights, accommodations and transportation
- Project Management:
- Assist with research, data compilation, and project management tasks
- Coordinate meetings, workflow and follow up with our team and any vendor
- Support various initiatives and special projects
- Problem Solving:
- Anticipate and address potential issues related to the executive's schedule and responsibilites
- Provide solutions and support in a proactive and efficient manner
- Support:
- Provide support, as needed, to the Executive Team
Qualifications:
- Education: Bachelor's degree in Business Administration, Management, or a related field preferred.
- Experience: Minimum of 3 years of experience in an administrative or executive support role.
- Skills:
- Exceptional organizational and time-management skills
- Strong written and verbal communication abilities
- Proficiency in office software (e.g., Microsoft Office Suite, Google Workspace)
- Ability to work independently and manage multiple priorities
- High level of discretion and confidentiality
- Problem-solving and critical-thinking skills
