Job description
Job Summary: Seeking a detail-oriented and proactive administrative assistant to provide comprehensive administrative support to our team.
Key Responsibilities:
Administrative Support: Provide general administrative assistance such as calendar management, meeting coordination and. support including conference room booking, virtual setup, preparation/distribution of meeting materials such as agendas, presentations and handouts.
Travel Coordination: Arrange domestic and international travel including booking fights, hotels, and ground transportation, in accordance with the company's travel manual and compliance policies. Prepare travel itineraries.
Expense Reports: Prepare and submit accurate and timely expense reports ensuring compliance with company policies.
Document Management: Save, organize, and maintain documents on shared drive and internal systems for easy access and version control.
Ad Hoc Support: Assist team members and leadership with various tasks and special projects as required.
Qualifications:
1 to 3 years of administrative office support experience.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
Strong organization and time-management skills.
Ability to handle sensitive information with confidentiality.
Strong written and verbal communication skills.
Excellent attention to detail and ability to multitask effectively.
Experience using Concur or similar travel/expense management system is a plus.
Hours:
Tuesday, Wednesday, Thursday (6-8 hours)
