Job description
We are seeking a highly organized and detail-oriented contractor to provide general administrative support. Tasks and projects may include but are not limited to:
- Communications preparation (updating website, newsletters)
- Database management/data entry
- Invoicing
- Event support
- Scheduling
- Meeting preparation
- Customer service
Hours will fluctuate based on our needs and your availability, from zero to 10 hours per week, and up to 40 hours per month. Potential for occasional overnight travel for event support, but not a requirement.
Skills Required:
- Organizational Skills: Ability to manage files, schedule appointments, and maintain orderly systems.
- Communication Skills: Proficient in both written and verbal communication; able to interact with chamber members, staff, and executives.
- Time Management: Ability to prioritize tasks, meet deadlines, and manage multiple assignments simultaneously.
- Attention to Detail: Ensuring accuracy in documents, data entry, and all administrative tasks.
- Problem-Solving Skills: Ability to handle unexpected issues and find effective solutions.
- Interpersonal Skills: Ability to work well with others, providing support and maintaining positive working relationships.
- Customer Service: Handling inquiries, providing information, and resolving complaints or challenges efficiently.
- Confidentiality: Managing sensitive information discreetly and maintaining privacy.
Technology Requirements:
- Office Software Proficiency:
- Microsoft Office Suite: Word, Excel, PowerPoint, Outlook.
- Google Workspace: Docs, Sheets, Slides, Gmail, Calendar.
- Data Entry Software: Familiarity with database management systems and CRM software.
- Communication Tools:
- Email Clients: Outlook, Gmail.
- Video Conferencing: Zoom, Microsoft Teams, Google Meet.
- Desired: Experience with Constant Contact; updating websites in GoDaddy, WordPress
- File Management Systems: Dropbox, Google Drive, OneDrive.
- Knowledge of basic office equipment (printers, scanners, copiers).
- Social Media Management: Familiarity with platforms like LinkedIn, X (Twitter), Facebook, Instagram
- Web Conferencing Tools: Zoom, Teams, etc.
- Graphic Design: Basic skills in tools like Canva or Adobe Photoshop for creating presentations or marketing materials.
Additional Desirable Skills:
- Event Planning: Experience in organizing meetings, conferences, or events.
