Job description
You’ll be the right hand to the founder of our Client—protecting her time, keeping the business organized, and making sure customers and collaborators have a seamless experience. This role blends executive assistance, light e-commerce operations, and day-to-day marketing support.
1. Core Responsibilities
- Inbox Management
- Monitor and organize the founder’s email inbox daily
- Flag urgent items, draft replies, and file/archive communications
- Maintain a simple system so nothing falls through the cracks
- Calendar & Scheduling
- Own the founder’s calendar—book and confirm meetings, schedule deadlines, and build in work blocks
- Coordinate across time zones and with external partners
- Prep the founder for calls with brief notes and links
- Order Fulfillment & Platform Support
- Process and fulfill small batch/ one off orders via ShipStation
- Work with fulfillment center to oversee inventory levels and alert the founder when items are low
- Monitor fulfillment center to ensure extra costs are not being incurred
- Bonus: make minor site updates in Shopify (copy tweaks, image swaps, tag/collection updates)
- Marketing Support & Social Coordination
- Communicate directly with the marketing manager and PR manager
- Gather/send product info, photos, and assets as needed
- Help respond to DMs/comments (brand voice provided)
- Collect UGC and customer testimonials for marketing
- Align with PR + marketing managers to track influencer gifting
- Event & Project Support (Occasional)
- Assist at in-person events/pop-ups (setup, guest check-in, merchandising)
- Support product send-outs/PR boxes
- Run light admin tasks tied to launches or campaigns
- Founder Enablement
- Reduce the founder’s screen time by taking over repeatable admin tasks
- Proactively spot inefficiencies and suggest simpler systems
2. Qualifications / Skills
- 4+ years in an administrative, operations, or e-commerce support role (small business/startup experience a plus)
- Comfortable working inside: email, Google Workspace, calendar tools, and at least one e-commerce platform
- Experience with Shopify and/or ShipStation strongly preferred
- Excellent written communication; can write clear, warm, on-brand replies
- Highly organized, detail-oriented, and reliable with follow-through
- Ability to juggle multiple priorities without losing composure
- Discreet with sensitive founder and customer information
- Comfortable communicating on behalf of the founder and coordinating with a marketing manager
- Nice to have: light Canva skills, basic knowledge of Instagram/TikTok business features, familiarity with DM/community management
