Although this company was founded in 1976 it has transformed how we connect and communicate worldwide.

Our Customer is seeking a Administrative Assistant (on a contract basis to help support our Customer's business needs. This role is a hybrid setup (3 days onsite and 2 days remote/week) in Cupertino, CA.

As an Administrative Assistant, you are the right hand and partner to your leaders on the Digital Experience and Merchandising Team. You play a central role, connecting teams and managing key information. You have the ability to see around corners, as you anticipate needs and problem solve effectively. You are organized and a strategic thinker that can make the right decisions that support your leader’s priorities. You are a team player that works collaboratively with other Administrative Assistants.


Responsibilities:

  • Manage assigned leader’s management systems, consisting of highly complex calendars that often require frequent rescheduling
  • Coordinate travel arrangements, visa requirements and expense reporting with precision
  • Oversee and coordinate managed meeting rooms
  • Support employee engagement initiatives in partnership with local Admins and ASO Business Planning
  • Support Senior Director’s additional administrative tasks as needed
  • Manage offsite and meeting logistics to optimize team efficiency
  • Track offsite and key meeting dates — working closely with ASO Business Planning to align resources as needed
  • Assist with meal or refreshment coordination when leaders are unable to step away

Skill and Qualifications:
  • 5+ years experience supporting high-level executives with administrative support including strategic calendar prioritization, event planning, travel logistics, expense reporting and project management
  • Experience providing high-level administrative support to executives in a dynamic, fast-paced environment
  • Strong written and verbal communication skills with extraordinary attention to detail

Preferred:
  • Demonstrated ability to take initiative, build trust and maintain strong cross-functional relationships
  • Extraordinary organizational, time management and administration skills with an exceptional response rate, solutions-oriented approach and relentless tenacity
  • Experience tackling ambiguous challenges with curiosity and creative problem solving skills
  • Proven ability to handle confidential business matters with discretion while remaining calm and confident under pressure
  • Experience working effectively in a highly matrixed organization across time zones
  • Strong negotiation and interpersonal skills
  • Passion for building team culture and fostering a positive, productive work environment
  • Proficiency with iCal, Mail, Keynote, Numbers, Quip, Slack, and other office systems
