Job description
For more than 40 years, our Customer has been following science and seeking solutions to unmet medical needs. They are a biotechnology corporation that makes medicines to treat patients with serious medical conditions. Their goal is to use the power of genetic engineering and advanced technologies to make medicines that address unmet medical needs, and help millions of people worldwide.
We are seeking an Administrative Assistant on a contract basis to help support their business needs. This role is a hybrid setup (3 days onsite and 2 days remote/week) in Pleasanton, CA.
Responsibilities:
In this role, you will support various Networks and Chapters with a variety of highly sophisticated and ambitious administrative and operational activities, including but not limited to:
Administrative support
- Planning and coordinating onsite/offsite meetings and/or team events, coordinating national/international travel, and virtual meetings
- Coordinate and manage the scheduling of department/functional meetings
- Google Mail and Calendar management
- Management of office supplies
- Travel Management
- Expense Reports
- Managing budget, preparing and submitting purchase orders, and maintaining vendor relations, accruals, and compiling expense reports
Time management
- Interview scheduling
- Cultural ambassador for the team, acting in a professional and exemplary manner whilst supporting change management activities
- Contact person for the new software to implement in the department
- Catering
- Planning and support of onboarding and offboarding activities, developing and/or deliver training and onboarding materials for new team members and potentially other stakeholder groups
- Tracking of team stats and projects
Project support
- Support projects and the coordination of various activities
- Support planning, organizing, and potential participation at events (e.g. JP Morgan conference, R&D Fairs, Summits, Global Diagnostics Partnering Meetings, etc.
- Management and organization of functional off-site meetings, Sprints, and Trainings
- Set up and maintenance of websites
- Actively participating in meetings with other professionals and proposing improvements to work processes, as well as sharing ideas and support amongst colleagues
