We are seeking an Admin Assistant / Imports Expeditor on a contract basis to support their business needs. This role is hybrid in Newport News, VA.


The Expeditor supports the supply chain team by actively tracking and expediting imported purchase orders to ensure on‑time delivery. This role works closely with suppliers, freight forwarders, customs brokers, and internal stakeholders to identify risks, resolve delays, and maintain visibility from origin through final delivery. The position is ideal for someone who is detail-oriented and can manage multiple shipments and follow up aggressively.



Responsibilities:

  • Track international purchase orders from supplier shipment through final delivery
  • Monitor transit milestones, including factory ship dates, port departures, customs clearance, and domestic delivery
  • Communicate regularly with suppliers, freight forwarders, and customs brokers to confirm status and resolve issues
  • Identify late or at‑risk shipments and escalate concerns to buyers or supply chain managers
  • Update shipment status, dates, and notes in ERP and tracking systems
  • Review shipping documents (commercial invoices, packing lists, bills of lading) for accuracy and completeness
  • Support import compliance by ensuring the required documentation is received and routed appropriately
  • Coordinate with internal teams (buyers, inventory, logistics, AP) to support receiving and payment processes
  • Maintain organized records and provide clear, timely status updates


Skills and Qualifications:

  • 1-3 years of experience in expediting, logistics, supply chain, or import operations (internship or temp experience acceptable)
  • Basic understanding of international shipping and import processes
  • Strong follow‑up and communication skills
  • High attention to detail and the ability to manage multiple priorities
  • Proficiency in Microsoft Excel and Outlook
  • Ability to work independently in a fast‑paced environment

Preferred Qualifications:

  • Experience working with imported products (ocean or air freight)
  • Familiarity with Incoterms, customs clearance, and freight documentation
  • Experience using ERP or supply chain tracking systems
  • Prior work with freight forwarders or customs brokers
