Job description

Our Customer is an American financial services mutual organization based in Milwaukee. The financial security company provides consultation on wealth and asset income protection, education planning, retirement planning, investment advisory services, financial planning trust and private client services, estate planning and business planning. Its products include life insurance, permanent life insurance, disability income, and long-term care insurance; annuities; investments; and investment advisory products and services.


Our customer is looking for an Administrative Assistant on a contract basis to provide secretarial and administrative support to the division and may serve as backup for other administrative assistants. Responsible for coordinating office activities, preparing documents, and supporting daily operations. This role is on-site in Milwaukee, WI.



Responsibilities:


Administrative Support (60–80%)

  • Types letters, reports, memos, and presentations from handwritten notes, dictation, or voice recordings
  • Formats documents, corrects spelling and grammar, and maintains confidentiality in all tasks
  • Composes simple correspondence and short memos as requested
  • Responds to routine inquiries and researches basic information as needed
  • Schedules meetings for small groups, coordinating participant availability, meeting rooms, and required equipment
  • Handles general copying tasks, including complex, two-sided, multi-page projects
  • Manages phone calls, takes messages with caller and subject details, and answers basic business function questions
  • Sorts and distributes incoming mail; handles outgoing faxes and receives faxed documents
  • Greets and receives guests and visitors professionally
  • Provides phone coverage and general administrative support during absences, vacations, or illnesses
  • Assists with special projects as assigned


Office/Division Administration (20–40%)

  • Prepares and submits transactional updates to Human Resources (e.g., name, address, phone number changes)
  • Maintains attendance records, tracking vacation, sick days, and compensatory time
  • Distributes pay statements to division members
  • Updates departmental manuals and maintains both general and confidential filing systems
  • Contacts Building Services to report and follow up on facility issues (e.g., lighting, HVAC, restrooms, furniture)
  • Maintains a tickler file for important dates, reminders, and departmental reports
  • Initiates disbursement requests and registers staff for seminars or conferences
  • Supports specific special projects as needed


Skills and Qualifications:

  • Minimum of 1 year of prior administrative experience
  • Keyboarding accuracy at 35 words per minute (required)
  • Proficiency in Microsoft Word (preferred)
  • Strong grammar, spelling, and proofreading skills
  • Ability to handle confidential materials with discretion and professionalism
  • Proven multitasking skills and ability to prioritize effectively
  • Demonstrated initiative and ability to work independently and meet deadlines
