We are seeking an Administrative Assistant on a contract basis to help support our customer’s business needs. This role is 100% remote in CST hours.
Responsibilities:
- Provide remote administrative support for multiple leaders, including calendar management, travel coordination, and expense processing
- Manage high-volume and complex calendaring activities across multiple executives
- Coordinate domestic and international travel arrangements and related logistics
- Process and manage expense reports accurately and efficiently
- Utilize internal and external tools to support scheduling and administrative operations
- Communicate effectively with leaders to understand business priorities and align support accordingly
- Partner with leaders and other administrative professionals to coordinate meetings and schedules
- Provide proactive time management recommendations to leaders
- Support short-term coverage needs within the administrative support team as bandwidth allows
- Manage competing priorities and administrative requests in fast-paced environments
- Maintain professionalism, discretion, and confidentiality while supporting executives
Skills and Qualifications:
- 2+ years of experience providing administrative support to 2 or more executives
- 2+ years of experience managing calendars, travel, and expense reporting for multiple executives
- Experience prioritizing multiple tasks and activities simultaneously
- Strong multitasking and organizational skills
- Strong communication skills with a proactive approach to support
- Experience exercising judgment and discretion while applying company policies and practices
- Proficiency with Microsoft Office and Google Workspace
- Experience using customer relationship management systems or ticketing systems
- Ability to work independently in remote support environments
- Strong attention to detail and follow-through
- High school diploma or equivalent required
- Experience supporting executives is highly preferred
Preferred Qualifications:
- BA/BS degree
- Familiarity with Concur and Outlook
- Experience supporting multiple executives simultaneously
- Comfort working with data and reporting tools
- Project management mindset and organizational skills
- Interest in AI, automation, and process improvement tools
- Advanced Google Workspace skills
