We are seeking an Senior Executive Assistant (Remote – MST/PST) on a contract basis t to support two senior leaders within the AI organization. This role requires someone who thrives in a fast-paced, dynamic environment, can manage shifting priorities—including same-day schedule changes—and possesses strong technical aptitude.
This role is 100% remote - MST or PST.
Hours: Monday - Friday 8 am-5 pm PST
Responsibilities:
- Provide executive support to two senior AI leaders, including heavy calendaring, strategic coordination, and operational assistance
- Manage complex calendars with frequent same-day changes, shifting priorities, and tight meeting schedules
- Coordinate internal and external meetings across multiple time zones
- Serve as a gatekeeper to optimize executive time and scheduling efficiency
- Coordinate domestic travel logistics including flights, accommodations, and itineraries
- Support international travel needs by understanding visa processes and administrative requirements
- Manage travel using corporate travel platforms such as CTM or similar systems
- Utilize Workday for expense entry and administrative processes
- Prepare and manage documents using Google Workspace tools including Gmail, Calendar, Docs, Sheets, and Drive
- Interface professionally with stakeholders across engineering, AI research, product teams, and cross-functional leadership
- Provide administrative and operational support for a large team led by one executive
- Adapt quickly to changing priorities in a fast-paced environment
- Maintain professionalism, confidentiality, and solution-oriented judgment under pressure
- Support cross-cultural communication with patience and clarity
Skills and Qualifications:
- Minimum of 5 years of experience supporting VP-level or senior executives, preferably in technology organizations
- Experience supporting executives in mid to large-sized technology organizations
- Strong proficiency in Google Workspace tools
- Comfort using AI tools such as ChatGPT, Google Gemini, Glean, and similar platforms
- Ability to build workflow automations and use AI for productivity enhancements
- Familiarity with corporate travel management systems such as CTM
- Proven ability to support multiple executives simultaneously
- Strong understanding of cross-functional collaboration and organizational dynamics
- Experience working remotely and providing asynchronous support
- Proficiency with Zoom, including delegate capabilities
- Proficiency using Slack for internal communication
- Strong organizational skills with high attention to detail
- Ability to work independently with minimal direction
- Strong communication and coordination skills
