We are seeking a highly organized and tech-savvy contract Branch Administrative Associate to support the daily operations of our branch. This role combines administrative responsibilities with customer service and point-of-sale (POS) tasks. The ideal candidate will be detail-oriented, proactive, and comfortable working in a dynamic environment that includes both office and occasional warehouse interactions. This role is on-site in Sacramento, CA.


Work Hours: 8:30 am-5 pm with a 30-minute unpaid lunch.



Responsibilities:

  • Perform daily cash handling activities including payment processing, deposit creation, and cash drawer reconciliation.
  • Ensure compliance with security and operational procedures at all times.
  • Manage invoice processing (~250 per day), including organization, filing, and accuracy checks.
  • Provide administrative support such as answering calls, handling correspondence, distributing mail, and maintaining digital and physical files.
  • Assist with data entry, reporting, and document preparation using software tools (SharePoint, Excel, billing systems, etc.).
  • Coordinate logistics for meetings and events, including scheduling, travel arrangements, and materials preparation.
  • Interact regularly with the warehouse to retrieve invoices and materials; comply with all PPE requirements (steel-toe shoes and safety vest).
  • Collaborate with internal teams to maintain operational efficiency and support business initiatives.
  • Participate in team meetings and contribute feedback for continuous improvement.


Skills and Qualifications:

  • Associate degree preferred; equivalent work experience considered.
  • Ability to manage multiple priorities and maintain consistency across processes.
  • Comfortable handling frequent changes and shifting priorities.
  • Proactive, dependable, and capable of working with minimal supervision.
  • Strong attention to detail, organization, and confidentiality.
  • Prior administrative experience in a fast-paced, customer-facing environment preferred.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook, Teams) and ability to learn new software quickly.
  • Excellent written and verbal communication skills; professional phone etiquette required.
  • Ability to lift, move, and organize files or materials as needed.
  • Comfortable using a headset for phone communication.
  • Must wear steel-toe shoes (provided if needed) and a safety vest when entering warehouse areas.
