Job description

For more than 40 years, our Customer has been following science and seeking solutions to unmet medical needs. They are a biotechnology corporation that makes medicines to treat patients with serious medical conditions. Their goal is to use the power of genetic engineering and advanced technologies to make medicines that address unmet medical needs, and help millions of people worldwide.


We are seeking an Administrative Business Partner on a contract basis to support a fast-paced scientific department. This contract role is fully on-site in South San Francisco, CA, and involves working closely with the department lead and other key team members. We’re only considering candidates with a strong professional presence, excellent writing skills, and a track record of high-quality execution.



Responsibilities:

  • Manage complex, high-volume calendaring for department leadership and cross-functional meetings, including across multiple time zones
  • Maintain recurring meetings, shared calendars, and department distribution lists
  • Draft polished agendas, meeting notes, summaries, and follow-up communications
  • Coordinate logistics for interviews, guest speakers, and internal events
  • Order catering for department meetings
  • Make domestic and international travel arrangements
  • Support onboarding processes and team coordination activities
  • Prepare and track expense reports, order supplies, and handle general administrative tasks
  • Assist with special projects as needed
  • Use internal systems, including Google Workspace, Zoom, MS Office, and Concur


Skills and Qualifications

  • 4+ years of administrative experience, ideally supporting senior leaders or department-level operations in fast-paced environments
  • Bachelor’s degree or equivalent professional experience
  • Exceptional writing and communication skills — clear, concise, and professional
  • Highly organized, detail-oriented, and dependable
  • Ability to navigate shifting priorities with focus and composure
  • Proficient in Google Workspace and MS Office; quick to learn new tools and platforms
  • Professional, discreet, and confident in representing the team
  • Bonus: Experience in biotech, startups, high-tech, consulting, or other fast-paced, detail-heavy industries
  • Holds themselves to a high standard and produces clean, thoughtful work
  • Anticipates needs and takes initiative without waiting for direction
  • Values polished communication and strong follow-through
  • Collaborates well with other experienced admins
  • Seeks a contract role where skills, judgment, and professionalism are highly valued
