As an Administrative Business Partner, you're at the heart of your team's business operations and activities and the soul that keeps your team moving forward. You anticipate the needs of your managers and team members and help them stay focused on their projects by resolving operational and administrative issues before they arise. You move quickly with the changing environment and are up to date with our Customer’s latest products and services. You also use that knowledge to strategically support your team's projects. In addition to being organized and analytical, you possess the strong business judgment and communication skills needed to interact with a variety of people and job functions. Our Customer’s Administrative jobs are staffed by organized and dependable people driven by a common company goal: to help accomplish great things. Working behind the scenes, you'll help to make a significant impact on the people you support as well as users around the world. ABP's are adept at leading and managing a variety of simultaneous projects, which requires the particular talent of being able to communicate effectively with all levels of the organization.


This role will be on a floater basis. Possible contract extension beyond 12/31/21.

What you’ll do:

• Perform an extensive array of administrative tasks such as: managing calendars, booking travel, and scheduling facilities and equipment for 3 Directors- THIS WILL BE ON A FLOATER BASIS

• Coordinate duties for multiple offices and timezones

• Build efficiency and effective responsiveness into existing operations, and help define new operational strategies

• Serve as a technical lead for, and manager of, small projects

• Support PST, CST, and EST time zones (some global support)

Must have’s:

Top 3 Daily Responsibilities:

  • Calendar support for up to 3 executives
  • Schedule analysis to ensure efficient workflow
  • Partner closely with executives to align calendars with their business priorities

Other Responsibilities May Include:

  • Large team meeting bookings across global offices
  • Event support (Virtual offsites and all hands bookings)
  • Fun Budget Management
  • Experience providing polished and professional administrative support to senior executives within a fast-paced team and international environment.
  • Excellent written and verbal communication and interpersonal skills; proven ability to take initiative and build strong, productive relationships.
  • Proven ability to consistently and positively contribute in a high-paced, changing work environment with the ability to prioritize multiple functions and tasks and manage work time efficiently.
  • Effective organizational skills, with careful attention to detail and the ability to handle multiple stakeholders and priorities.


Desired Qualifications

• 4-6 years of direct executive support, project management, and event planning experience

• Proven ability to consistently and positively contribute in a high-paced, changing work environment with the ability to prioritize multiple functions and tasks and manage work time efficiently

• Expert level proficiency in Google Suite and Concur REQUIRED

• Excellent communication and interpersonal skills; proven ability to take initiative and build strong, productive relationships

Education:

• Bachelor's degree

Hours & Location:

• M-F, 40 hours/week

This position is located onsite at our Customer’s Palo Alto location. This role will be remote until further notice (anticipated hybrid return date is 10/18/21).
