Job description

Title: Administrative Personal Assistant for HNW Individual
Location: Upper East Side home office
Status: ~ 25 hrs/wk, ongoing PT employee
Hourly Range: $35 - $40/hr, commensurate with experience
Ideal Candidate: Has experience supporting a High Net Worth individual, or C-Suite executive

We are looking for a resourceful Personal Assistant to support a female principal with an Interior Design and Party Planning consultancy in her home office in the Upper East Side.

Ideally Mon - Fri, 5 hours a day for a total of 25 hours a week. $35-40/hr depending on experience.

We are looking for someone proactive to keep the principal on track, manage her ever-changing calendar, and remind her of all appointments. You need to be computer savvy, great at doing research and making complex travel arrangements. Ability to change gears quickly in case of urgency or a priority shift is a must. We are looking for determined candidates who don't easily take no for an answer when working on behalf of the principal. This ad is placed by the principal's representative, not a recruiter.

Responsibilities will include, but are not limited to:

Manage schedules and remind principal of appointments the day of and 1-2 days prior in case appointments need changing

Prioritize tasks and projects based on principal's preferences and level of importance

Make restaurant reservations and travel arrangements

Troubleshoot problems in the apartment and schedule appointments for maintenance and repairs

Supervise vendors working in the home

Understand and anticipate the employer's needs, run errands, process returns and exchanges, place orders for gifts and supplies as needed

Sort through mail and employer's several email inboxes and bring important issues to her attention, delete junk email

Keep track of online subscriptions and apps

File health insurance claims

Follow up on incomplete assignments

Manage and coordinate parties and greet guests (e.g., birthday parties, family gatherings, dinner parties)

Review, reconcile, dispute bills and invoices as necessary

Maintain an organized filing system as well as online filing for easy access to important documents

Handling special requests, random research and related duties as needed

Requirements:

A minimum of 3 years related experience, supporting a c-suite executive or HNW individual

Verifiable references

Extremely thorough with keen attention to detail and ability to anticipate the employer's needs

Ability to take direction and follow instructions

Mac computer savvy with Microsoft OfficeSuite skills. Must know how to organize and maintain calendars

Good written and oral communication skills and great organization skills

Adept in managing and supervising service staff and other outside vendors

Understands that the utmost in confidentiality and discretion is required

Know how to prioritize personal tasks and follow up on incomplete assignments

Ability to multi-task, anticipate and switch gears quickly

Must be able to pass a comprehensive background check
