About the Role
As the first point of contact for Outset families, this seasonal role plays an important part in creating a welcoming, seamless experience from initial inquiry through enrollment. Key responsibilities include managing our main phone line and shared inboxes, maintaining accurate CRM records, and overseeing enrollment communications. We’re looking for an experienced sales or customer service professional who is highly organized, efficient, and self-directed, with a warm, upbeat communication style and a talent for making every interaction clear, helpful, and personable.
Responsibilities
Phone and email
- Answer and return calls and emails from students and parents, resolving general questions (dates, eligibility, application steps, deadlines, payments) on first contact.
- Route specialized questions to admissions reps, or program staff with a clear handoff note.
- Clear voicemail and inboxes daily and respond to every family within one business day.
- Utilize templates and automatic communication while flagging recurring questions so we can improve templates and FAQs.
CRM management
- Keep student and parent records accurate and current, including application stages, notes, and statuses.
- Fix duplicates, missing fields, and stale records.
- Build and maintain views, filters, fields, and simple automations; run imports, exports, and bulk updates.
- Pull lists and reports for leadership, and test new CRM features with our internal developer.
Operations support
- Support the VP of Admissions and Enrollment and Operations Director with projects and key initiatives.
- Identify where families get stuck in the enrollment process and recommend fixes such as clearer emails, better FAQs, and faster routing.
- Help document processes and SOPs as the team scales.
Qualifications
Required
- 5+ years in sales and customer service
- 2+ years in technical support and/or systems administration
- Strong phone presence and clear written communication.
- Proven ability to manage a high volume of calls and emails accurately.
- Availability for 10-20 hours per week, with flexibility during peak enrollment.
Preferred
- Prior experience with a CRM software (e.g., HubSpot, Salesforce, Airtable), including fields, views, filters, automations, and data imports and exports.
All applicants applying for U.S. job openings must be legally authorized to work in the United States and are required to have U.S. residency at the time of application.
If you are a person with a disability needing assistance with the application, or at any point in the hiring process, please contact us at support@themomproject.com.
Screening Questions
- This role is flexible, but we need coverage in the afternoons. From December through May, can you consistently work at least 1–4 hours on weekdays between 1:00 and 5:00 PM ET?
- A parent emails: ‘We applied two weeks ago and haven’t heard anything. Your programs look like they’re filling up and I’m getting nervous.’ Write the email you’d send back. You don’t need to know our policies; we’re interested in your approach.
- A parent calls: ‘Can my son commute from home instead of staying on campus? We live 20 minutes away and he’s never been away overnight.’ Assume the answer is no. How would you respond?
- Describe a time you managed a high volume of requests (calls, emails, tasks) at once. How did you prioritize, track everything, and make sure nothing fell through the cracks?
- Describe a time you improved a CRM or database (fields, views, automations, imports or cleanup). What tool did you use, what did you change, and what was the result?
