Job: Art Collection & Acquisition Coordinator
Job Location: Midtown-New York, NY
Job Type: Part time/hybrid

Salary: $60 - $78
Hours/Week: 10-20, 1099/IC

Job Description: Our company is seeking an Art Collection & Acquisition Coordinator to join their team in New York. They are looking for a motivated, detail-oriented candidate who will support art coordination including: preservation, acquisition, museum and gallery loans, as well as financial record-keeping and insurance management. This candidate will play a crucial role in building and managing an expansive collection. This is a part-time position.

Qualifications:

  • Highly organized & efficient, with the capacity to concurrently handle multiple tasks
  • Experience or education in Art History, Conservation, Museum Studies, or Art Sales & Curation
  • Self-starter, capable of taking initiative & working both independently & collaboratively
  • Skilled at recording, auditing, cataloging, and archiving records of works in databases like Art Logic, Artnet, & Mutual Art
  • Demonstrates proficiency in data collection, research, organization, & financial management
  • Strong communication skills with exceptional attention to detail & deadline oriented
  • Experience collaborating with auction houses, museums, conservators, framers, galleries, attorneys, storage facilities, shippers, appraisers, and insurance brokers
  • Willingness to learn
  • Strong interest or previous experience in Art Collection, Art Sales or Conservation

Responsibilities:

  • Oversee acquisitions, including purchasing, shipping, conservation and insurance logistics
  • Manage international & domestic artwork loans, ensuring compliance with museum standards, transportation, contracts, and insurance requirements
  • Participate in auctions, gathering relevant pre/post-purchase information
  • Organize loan documents & manage all paperwork related to acquisitions and exhibitions
  • Schedule & oversee shippers, art handlers, conservators, & photographers
  • Coordinate & update collection databases to ensure accurate & comprehensive records
  • Input and maintain dimension, provenance, production etc. information on artworks
  • Update insurance records, location reports & move dates as needed
  • Research & enhance collection data, expanding object records through ongoing catalog efforts
  • Manage manual & digital information systems for collection inventory & record keeping
  • Coordinate cross-departmental operations & projects to streamline art collection workflows
  • Organize movement/storage of artwork worldwide
  • Collaborate with external partners, monitor budgets, financial tracking for acquisitions, loans & logistical arrangements
  • Strengthen partnerships with external resources related to art & exhibitions
  • Utilize industry tools for research, valuation, & market analysis to inform acquisition decisions & collection management
