Job description
Financial Operations Associate- Family Office/Private Wealth Industry
Office Location: Stanford, CT- one block from train station
Salary Range: $100,000-120,000
Hybrid: 3 days/week onsite (flexible to choose onsite days)
Core Responsibilities
Client Relations:
- Support Relationship Managers on client relationships.
- Serve as a key point of contact for day-to-day client service needs.
- Drive high client satisfaction through excellent customer service, prompt follow-up on client issues, and proactive problem solving.
Billing & Accounting:
- Review of bank and brokerage accounts on a regular basis.
- Track investment portfolios consisting of individual stocks, hedge funds, other private investments, and loans.
- Preparation of balance sheets and monthly/quarterly financial reports.
- Process payments for income taxes, real estate taxes and other invoices.
- Work with legal counsel and tax advisers to implement wealth transfer strategies, tax planning, asset protection solutions, and philanthropic initiatives.
- Support of tax preparation and coordination with outside accountants.
- Budgeting and cash flow planning for clients.
- Administer charitable giving programs on behalf of clients.
- Maintain notes and action items for internal CRM system.
Business Operations:
- Administrative duties including scanning, deposits, mail and delivery services.
- Respond to internal and external ad-hoc requests promptly.
- Demonstrate outstanding attention to detail, efficiently perform and prioritize multiple tasks simultaneously, and consistently meet or exceed deadlines.
Qualifications/Skills
- Full-time position located in Stamford, CT.
- Hybrid work model with 3 days in the office and 2 days remote.
- Bachelor’s degree required.
- 3 -5 years prior relevant industry experience. (Family office, operations, or other experience working with HNW families is preferred)
- Strong QuickBooks skills preferred.
- Proficiency in all Microsoft Office programs, particularly Excel.
- Excellent verbal and written communications skills.
- Self-starter and able to work independently.
- Proactive problem-solving ability.
- Adhere to high confidentiality and fiduciary standards.
