Job description

*This is a remote role, with special consideration for candidates located in the Puget Sound Region, or Denver, CO.

Keeping the beat means minding the project schedule and warning the team if they’re dropping a step. It means slotting every session and meeting into a complex schedule, and handling any stumbles by clients or team members.

As the Operations Specialist, you’ll onboard new clients and teams, making sure they have what they need, when they need it, to create the best client experience possible.

As the Operations Specialist, you must:

  • Be comfortable with MacOS.
  • Absolutely crush Asana, navigating and updating project timelines, dependencies and all.
  • Manage the nuances of scheduling through Acuity, protecting the time of our team members while giving clients the access they need.
  • Have a command of Gmail, Google Drive, Google Docs, and Google Sheets.
  • Be able to create Zoom meetings and double-check security settings.
  • Have masterly verbal and written communication skills.
  • Possess the organizational skills of a hardcore librarian, and the problem-solving delight of a dissectologist.
  • Hold within you a growth mindset, a desire to improve and expand, along with your peers and your team.
  • Care about other humans and their well-being.
  • Be honest.
  • Be yourself.

We’d really love it if you could:

  • Be a confident writer of newsletters and simple social media posts.
  • Direct projects and timelines with aplomb.
  • Be a grammar and style hound—look over others’ shoulders and catch their written foibles.
  • Have skills with MailChimp, Hubspot, and the integration between both.
  • Be capable with Apple Pages, Numbers, and Keynote.
  • Know Zoom inside and outside, being able to handle meetings, security settings, breakout groups, polls, and webinars.
  • Show initiative and take calculated chances. Look for things that don’t work, imagine better ways of doing what we do, and suggest improvements along the way.

Responsibilities:

  • Tracking all participants in all programs; e.g., who has participated in which sessions, who has missed, what assessments have been completed, etc.
  • Sending reminder emails, emails for assessments, and other communications, as required by a Program Specialist or by the Operations Director.
  • Managing calendars.
  • Managing assessment systems; e.g., ordering ECHO assessments, placing ECHO assessments in appropriate folders, sharing ECHO assessments at appropriate times, tracing response rates to Pre- and Post-Assessments, etc.
  • Sending reminders to Program Specialists, as required or desired.
  • Taking meeting minutes, sending out agendas, etc.
  • Must have excellent written and verbal communication skills.
  • Must have an excellent sense of customer service.
  • Must be detail oriented with respect to calendaring, emails, records, etc.
  • May often be the first line of contact for incoming inquiries.
  • Ordering office supplies, tracking the payment of subscriptions, etc.

Compensation:

This is a temp to perm, hourly role with approximately 5-8 hours a week based on skillset. Potential for additional hours as we grow.
