Job description

JOB SUMMARY AND PURPOSE

The HR & Benefits Administrator position directly supports all team members as well as clients and prospective clients during all phases of business. The Benefits Administrator also performs essential supportive duties in the office to make sure that the business remains operational and prepared for future tasks and business opportunities. The HR and Benefits Administrator will run the daily functions of the Human Resources (HR) department including hiring and interviewing staff, updating policies and procedures, and enforcing company policies and practices. The HR & Benefits Administrator position directly supports our clients with their regular employee benefit adds and terms. The Benefits Administrator will provide additional administrative support to other team members as needed throughout the various steps in our client’s phases of business.

ESSENTIAL DUTIES/PERFORMANCE PROFILE:

· Basic administrative support: typing, filing, scanning, and report production as requested.

· Help manage team schedules and assist with making/cancelling appointments as needed.

· Assist with the design, ordering, and production of marketing collateral and literature (printing materials, graphics, promotional items etc.)

· Provide administrative/telephonic support for the office

· Proficiently know clients and vendors

· Keep Account Managers, Advisers, and other employees fully informed of all-important activities taking place in office/office building.

· Prepare for and participate in seminars and classes for skill and knowledge development.

· Assist with audits and pre-screens of client forms/materials before submitting to insurance companies

· Occasionally provide admin support for onsite communication of benefits in enrollment meetings, webinars with client and insurance companies.

· Assist the team as we collectively act as a liaison between clients and insurance companies to independently resolve all service problems/questions.

· Assist the team in the preparation of employee booklets, enrollment kits, enrollment forms, letters, checklists, and websites.

· Make regular service/relationship calls to clients as needed.

· Assist in the preparation of reports and management of data in agency management system and hard files.

· Completes Benefits Administration duties that include but are not limited to adding/terminating/changing coverage lines for clients that request this service in a timely manner.

· Reviews, tracks, and documents compliance with mandatory and non-mandatory training. This may include safety training, anti-harassment training, HIPAA training, etc.

· Recruits, interviews, and facilitates the hiring of qualified job applicants for open positions; collaborates with CEO to understand skills and competencies required for openings.

· Implements new hire orientation and employee recognition programs.

· Handles employment-related inquiries from applicants, employees, and supervisors, referring complex and/or sensitive matters to the appropriate staff.

· Attends and participates in employee disciplinary meetings, terminations, and investigations.

· Maintains compliance with federal, state, and local employment laws and regulations, and recommended best practices; reviews policies and practices to maintain compliance.

· Maintains knowledge of trends, best practices, regulatory changes, and new technologies in human resources, talent management, and employment law.
