Job description

The Mom Project is searching for an experienced Billing and Payroll Manager to join their team on a contract basis.


Billing and Payroll Manager, operates as functional manager and individual contributor, works to ensure that talent is paid and clients are billed correctly. They correspond with internal staff, clients, issue invoices, process payroll, and oversee the company’s revenue intake. Additionally, work in partnership with clients and talent to resolve related discrepancies.


Key Responsibilities (Non-Negotiables):

  • Perform weekly, biweekly and monthly client billings.
  • Perform weekly and biweekly payroll processing for W-2’s and 1099’s.
  • Perform weekly, biweekly and monthly reconciliations of payroll hours to VMS and ADP.
  • Perform weekly, biweekly and monthly reconciliations of bill and pay rate adjustments to VMS, EOR & ATS.
  • Knowledge of wage and hour laws & compliance standards (MPP specific).


Requirements (Non-Negotiables):

  • 2-6 years of experience in staffing with primary functions performing payroll and billing in a weekly cyclical process.
  • Experience navigating various VMS software (Beeline, Fieldglass, VNDLY) as well as ATS software (Salesforce & Bullhorn) required.
  • Knowledge of spend management software for invoice submission and tracking (i.e. Coupa, Ariba) preferred.


Key Responsibilities (Flexible):

  • Manage relationships with partner EORs and perform weekly and monthly payroll and billing reconciliations.
  • Conducts regular billing review and data analysis to verify complete and accuracy of invoices delivered to customers
  • Interacts with all internal teams to resolve any issues and answer inquiries
  • Track invoice corrections weekly (Excel) with diligence to identify opportunities for process improvements across departments.
  • Track pay corrections weekly (Excel) with diligence to identify opportunities for process improvements across departments.
  • Recognition and resolution of payroll, billing and client driven requests.
  • Manage pay/bill department mailbox efficiently and maintain a same day to 24-hour response time
  • Provide clarification and assistance to Accounts Receivable, Credit & Collections team for payment discrepancies.
  • Create and maintain process documentation for billing including exceptions.
  • Follow invoicing guidelines and adhere to company procedures.
  • Ensure that computing, withholding, reimbursements and deductions are set up correctly for processing.
  • Analyze all billing procedures and identifies opportunities for improvement


Requirements:

  • Familiarity with EOR partnerships preferred.
  • Experience in tracking discrepancies and compiling analytics that drive process improvements.
  • Comfortable with effective communication to multiple departments and clients.
  • High attention to detail, accuracy and precision in tasks and projects.
  • Exceptional time management skills and accountability.
  • Ability to think critically and adapt quickly in a flexible environment.
  • Collaborator mindset with an ability to work cross functionally in a collaborative fashion.
  • Enterprising spirit /initiative-taker.
  • Advanced Excel skills and Google Sheets experience
  • Salesforce Experience required
  • Quickbooks Online experience preferred
  • Bachelor’s degree or associate degree in accounting or business a plus but not required.
