About the Role
The Billing Manager operates as a functional manager and individual contributor, working to ensure that clients are billed correctly. They correspond with clients, issue invoices, and oversee the company’s revenue intake. Additionally, work in partnership with clients to resolve billing discrepancies.
What You'll Do
- Analyze all billing procedures and identify opportunities for improvement
- Perform weekly, biweekly, and monthly client billings.
- Perform weekly and biweekly payroll processing for W-2s, 1099s & EORs.
- Perform weekly, biweekly, and monthly reconciliations of payroll hours to VMS, EOR & ADP.
- Conducts regular billing review and data analysis to verify the completeness and accuracy of invoices delivered to customers
- Interacts with clients to resolve any issues and answer inquiries
- Perform weekly, biweekly, and monthly reconciliations of bill and pay rate adjustments to VMS, EOR & ATS.
- Track invoice corrections weekly (Excel) with diligence to identify opportunities for process improvements across departments.
- Track pay corrections weekly (Excel) with diligence to identify opportunities for process improvements across departments.
- Recognition and resolution of payroll, billing, and client-driven requests.
- Manage the pay/bill department mailbox efficiently and maintain a same-day to 24-hour response time
- Provide clarification and assistance to the Accounts Receivable & Credit & Collections team for payment discrepancies.
- Create and maintain process documentation for billing, including exceptions.
- Follow invoicing guidelines and adhere to company procedures.
- Ensure that computing, withholding, reimbursements, and deductions are set up correctly for processing.
- Knowledge of wage and hour laws & compliance standards (MPP specific).
Must-Haves
- 2-6 years of experience in weekly invoices or billings within the staffing industry required.
- 2-6 years of experience in staffing and payroll processing required.
- Pay/Bill experience with a staffing firm that uses VMSs (i.e., Bullhorn - BTE, Beeline, FieldGlass, Coupa)/MSPs and EORs (required.
- Salesforce Experience required
- QuickBooks Online experience required
- Experience in tracking discrepancies and compiling analytics that drive process improvements.
- Advanced Excel skills and Google Sheets experience
- Comfortable with effective communication with multiple departments and clients.
- High attention to detail, accuracy, and precision in tasks and projects.
- Exceptional time management skills and accountability.
- Ability to think critically and adapt quickly in a flexible environment.
- Collaborator mindset with an ability to work cross-functionally in a collaborative fashion.
- Enterprising spirit /initiative-taker.
- A bachelor’s degree or associate degree in accounting or business is a plus, but not required.
