They are a boutique education consulting and legal advocacy firm focused on addressing the full spectrum of possibilities for children. Their consulting, coaching, legal representation, and mediation services are custom-designed to promote child well-being and advocate for inclusive, equitable, and high-impact systems of support.


Position Overview

The Client and Business Services Coordinator plays a key role in advancing both client engagement and organizational growth. This a remote position, however if needed some in-person/onsite options are available. The role is multi-faceted, supporting daily operations, client-facing systems, scheduling appointments, managing referrals, emails, intake, drafting client communications, tracking proposal opportunities, and soliciting feedback. The ideal candidate is highly-organized, communicative, tech-savvy, and deeply aligned with our mission of serving children and families.


Key Responsibilities

Client Relations & Communications

  • Conduct client intake and follow-up calls to gather key information, confirm details, and ensure satisfaction.
  • Draft templates for client communications (e.g., intake forms, welcome letters, agreements, outreach emails).
  • Develop and distribute surveys and feedback tools to assess client experience and service quality.
  • Collect, organize, and report on client feedback to inform service improvement and innovation.
  • Prepare, proofread, and distribute email newsletters, memos, reports, and other written communications.
  • Electronically file court documents.

Business Development & Proposal Support

  • Monitor federal, state, and local procurement portals for RFPs, RFQs, and bid opportunities.
  • Track deadlines and coordinate proposal development timelines and checklists.
  • Draft and format administrative and narrative sections of proposals and supporting materials.
  • Maintain documentation of firm qualifications, licenses, certifications, and vendor registrations.
  • Ensure that required vendor accounts and credentials remain active and up-to-date.

Administrative & Operational Support

  • Organize and maintain electronic client and firm files.
  • Perform data entry and light data analysis to support reporting and tracking of client engagement and project milestones.
  • Manage digital calendars, scheduling, and travel logistics.
  • Support office operations, including managing supply orders and vendor correspondence.

Marketing & Event Coordination

  • Assist with creating and scheduling social media posts, presentations, and outreach materials.
  • Provide coordination support for virtual or in-person events (e.g., webinars, stakeholder meetings).

Qualifications

  • Associate’s or Bachelor’s degree preferred; equivalent work experience considered.
  • 3+ years of experience in administrative support, legal assistant role, client services, or communications.
  • Experience working within the legal field is a plus.
  • Excellent written and verbal communication skills.
  • Proficiency with Google Workspace, Microsoft Office, and tools such as Canva, Asana, Slack
  • Experience drafting client-facing documents and coordinating proposal submissions is a plus.
  • Comfortable handling confidential information and working independently in a remote environment.
