Our Customer is an American financial services and digital payments company based in San Francisco, California. They’re working to help their diverse audiences — sellers, individuals, artists, fans, developers, and all the people in between — overcome barriers to access the economy.


We are seeking a highly motivated Business Operations Coordinator on a contract basis to help support our Customer's business needs. This role is 100% remote.


The Business Operations Specialist will support the Global Marketing Strategy & Operations team, serving as a key cross-functional partner to ensure efficient and effective budget management. This role is responsible for overseeing marketing spend, optimizing budget systems, and providing data-driven insights to support global marketing initiatives.


The ideal candidate is highly analytical, detail-oriented, and an expert in spreadsheets and financial operations. You will collaborate closely with Accounting, Finance, and Marketing teams, helping to ensure budgets are fully utilized, payments are processed efficiently, and leadership has clear visibility into spend, risks, and opportunities.



Responsibilities:

  • Serve as the in-house Pigment software expert, managing and optimizing the marketing budget management and forecasting tools.
  • Maintain and evolve Pigment model infrastructure, build analytical views, and improve tool usability across teams.
  • Partner with Global Marketing stakeholders to oversee budget execution, including purchase order creation, invoice tracking, and accrual management.
  • Reconcile budget plans and actual spend across multiple datasets; develop reporting to identify trends, manage risks, and ensure budget accuracy.
  • Manage billing transactions, vendor communications, and month-end close processes in collaboration with Accounting.
  • Support the annual planning process, contributing to marketing’s forecasting, bottoms-up inputs, and alignment with company-wide financial goals.
  • Facilitate vendor onboarding and collaborate with Procurement to streamline contract and payment processes.
  • Drive process innovation by exploring automation and AI-driven solutions to enhance accuracy and efficiency in marketing budget operations.
  • Provide high-quality analysis and data insights to support leadership decisions and reporting needs.


Skills and Qualifications:

  • Bachelor’s degree in Business Administration, Finance, Marketing, or a related field required.
  • 2+ years of experience in an operational role, preferably in Marketing Operations or Business Operations.
  • Proven experience collaborating with Accounting and Finance teams to manage budgets and track spend.
  • Strong analytical and problem-solving skills with advanced proficiency in Google Sheets (pivot tables, complex formulas, data validation).
  • Experience maintaining or optimizing budget management tools such as Pigment or Oracle Cloud (Pigment experience preferred).
  • Excellent communication skills and ability to work effectively with stakeholders at all organizational levels.
  • A proactive and solutions-driven mindset with the ability to troubleshoot and improve operational processes.
  • Interest in leveraging AI and automation to scale operations and improve decision-making.
