Job description

Fractional Business Operations Manager / Chief of Staff

About the Role

Magenta is looking for a highly organized, strategic, and AI-savvy Business Operations Manager / Chief of Staff to partner closely with the CEO and leadership team.

This person will help build and run our executive operating system—ensuring the right decisions are made efficiently, strategic priorities stay on track, and leaders are aligned and accountable.

This is an ideal opportunity for someone who loves bringing clarity to complexity, enjoys working across functions, and is excited about leveraging AI to improve how businesses operate.

This is initially a 20–30 hour/week fractional role with the opportunity to grow into a long-term leadership position.

What You'll Do

Executive Decision Support

  • Prepare executive decision packets by gathering data, synthesizing information, framing recommendations, and documenting decisions.
  • Conduct research and analysis to support strategic business decisions.
  • Create executive-ready presentations, dashboards, and business summaries.

Business Operations

  • Own the company's operating rhythm, including leadership meetings, quarterly planning, strategic initiatives, and business reviews.
  • Build agendas, facilitate meetings, capture decisions, and ensure follow-through.
  • Drive accountability across cross-functional teams and proactively remove execution bottlenecks.
  • Improve organizational processes and create scalable systems.

Strategic Projects

  • Partner with the CEO and leadership team on high-priority initiatives.
  • Coordinate cross-functional projects from planning through execution.
  • Help leaders make informed decisions by organizing information, identifying tradeoffs, and surfacing risks.

AI & Operational Excellence

  • Identify opportunities to use AI and automation to improve productivity, reduce manual work, and increase decision quality.
  • Leverage tools such as ChatGPT, Claude, Microsoft Copilot, Gemini, or similar AI platforms to accelerate research, documentation, presentations, meeting preparation, and workflow optimization.
  • Continuously improve how the organization operates through thoughtful application of technology and process.

What We're Looking For

  • 5+ years of experience in Business Operations, Strategy & Operations, Chief of Staff, Program Management, Consulting, or a similar cross-functional leadership role.
  • Exceptional project management and organizational skills.
  • Strong business judgment with the ability to independently solve ambiguous problems.
  • Outstanding written and verbal communication skills.
  • Ability to create executive-ready presentations, decision documents, and reports.
  • Experience working directly with senior leadership teams.
  • Comfortable influencing without direct authority.
  • Highly organized with exceptional attention to detail.
  • Curious, proactive, and continuously looking for ways to improve how work gets done.
  • AI-native mindset with demonstrated experience using AI tools to improve workflows, accelerate decision-making, automate repetitive tasks, and increase team productivity.

Nice to Have

  • Experience supporting founders, CEOs, or executive leadership teams.
  • Experience in consumer products, retail, manufacturing, licensing, or e-commerce.
  • Experience building operating cadences, executive dashboards, OKRs, or quarterly planning processes.
  • Familiarity with Microsoft 365, Teams, SharePoint, Excel, Asana, Notion, or similar productivity tools.

All applicants applying for U.S. job openings must be legally authorized to work in the United States and are required to have U.S. residency at the time of application.

If you are a person with a disability needing assistance with the application, or at any point in the hiring process, please contact us at support@themomproject.com.

Screening Questions
