Client Experience Coordinator

Hybrid role in North Scottsdale (just south of Kierland Commons)

W2

Full-time

***This is a work-from-home opportunity, other than attending client meetings held in-office (2x a week, no more than 3) and picking up mail each week.***


Core Responsibilities

  • Own end-to-end client service workflows — onboarding, service touchpoints, custodial tasks.
  • Prepare accurate, branded meeting prep materials and follow-ups.
  • Manage calendars, schedule meetings, and ensure nothing falls through the cracks.
  • Track, document, and follow up on all tasks in the CRM.
  • Execute the firm’s marketing plan: emails, webinars, social media, gifts, referral programs.
  • Provide executive assistance: inbox triage, travel booking, light personal errands, and project support.

Qualifications/Skills

  • 5+ years’ experience in a financial advisory, wealth management, tax, or professional services firm.
  • Exceptionally organized, detail-oriented, and reliable, with impeccable integrity.
  • Skilled with CRMs, calendars, SharePoint, Microsoft Office Suite, DocuSign, and Zoom.
  • Must be an intermediate or higher Excel user
  • Comfortable using AI tools like ChatGPT, Grammarly, or AI schedulers.
  • A clear communicator with a client-first mindset.
  • Able to juggle multiple priorities without needing hand-holding.
  • Fast-paced, growth-minded, and enjoy new challenges on a regular basis.
