Job description

We are seeking a motivated and organized super-star to join our dynamic estate planning law firm as a part-time Client Happiness Coordinator. This is a hybrid, contingent role located in New York City.


We are seeking a motivated and organized super-star to join our dynamic estate planning law firm. This role will play a crucial part in supporting our legal team by managing client's communication, administrative tasks, and some of the social media presence. Responsibilities:

  • Client Communication: You will be the first person that the clients will speak with, so you need to be pleasant, professional, curious and enthusiastic. Ongoing - maintain regular contact with clients to provide updates on case progress, post-closing communication and address any inquiries or concerns.
  • Court Follow-up: Go to NYC courts to follow up on cases, gather information, and ensure accurate documentation.
  • Analytics and Data Entry: Accurately input client information, case details, and other relevant data into our case management system. Provide weekly and monthly reports regarding the firm's engagement.
  • Scanning and Filing: Efficiently scan and organize legal documents, correspondence, and case materials to maintain a well-organized digital filing system.
  • Social Media Management: Assist in managing the firm's social media presence by creating, scheduling, and posting relevant content to engage and inform our audience.
  • Administrative Support: Provide general administrative support including answering phones, managing calendars, and scheduling appointments as needed.
  • Documentation: Prepare, edit, and proofread legal documents and correspondence under the direction of the legal team.
  • Research: Assist in research tasks, gather information, and prepare summaries as requested by the legal team.

Qualifications:

  • College educated.
  • Previous administrative or office experience is a plus.
  • Strong organizational skills and attention to detail.
  • Excellent verbal communication skills.
  • Proficiency in using office software and tools (Microsoft Office Suite, Google Workspace, etc.).
  • Comfortable with social media platforms (Facebook, LinkedIn, Twitter) and basic social media management.
  • Professional demeanor and ability to maintain client confidentiality.
  • Ability to work independently and collaborate effectively within a team.
  • Reliable and punctual.
  • Russian language is a plus (but not a requirement)
