The Mom Project is excited to partner with our client on their search for a Client Relationship Coordinator to join their team in their Pleasanton, CA office.

Responsibilities:
Strategic Support & Project Coordination
- Work collaboratively with team members to ensure the proper coordination of projects including prioritizing tasks and providing frequent updates
- Prioritize people and situations in need of attention
- Troubleshoot and anticipate needs
- Provide monitoring and follow-through support on action items in progress
- Work with discretion and tact when exposed to confidential information
Client Relations & Communication
- Provide direction, advice, information, support, and confidence to the team through daily communication and reporting
- Project a professional and supportive image to all clients
- Follow up with clients and contacts by telephone and email
- Act as liaison between team and clients (set up and confirm appointments, review meeting notes, follow-up actions, etc.)
- Enter and maintain information in our databases on a daily basis
Executive & Calendar Management
- Set them up for success in their daily activities by strategically managing access to their time and attention
- Proactively manage calendars and remain flexible to multiple changes
- Coordinate calendars with other team leaders
- Provide high-quality support while anticipating needs
- Arrange travel occasionally
- Provide rock solid general administrative support (checking voicemail, ordering supplies, handling mail, scanning and filing documents)
What We're Looking For
- Experience: 4+ years in Customer Service or as an Executive Assistant (Financial Services experience a plus)
- Education: Bachelor’s degree preferred
- Tech Skills: Strong Microsoft Office skills; experience with DocuSign and CRM systems like Wealthbox is a bonus

Work Hours
- Modified workweek: 9 hours Mon–Thu, 4 hours on Fri (No OT)
- Occasional remote work flexibility
