Job description

The Contracts Coordinator is responsible for facilitating the contract management process, ensuring compliance with legal and regulatory requirements, and assisting in the administration of contracts to support the organization's objectives. The Contracts Coordinator works closely with various departments and stakeholders to facilitate effective contract management

Key Duties and Responsibilities

  • Prepare, review, and process contracts, agreements, and related documents.
  • Maintain accurate and up-to-date records of contract-related information, including terms, expiration dates, and key stakeholders in digital and/or physical files
  • Collaborate with internal teams to ensure contract compliance and monitor performance.
  • Review contracts to ensure they align with our policies, legal standards, and objectives
  • Identify potential risks and issues within contracts and work with legal team and CFO to address them
  • Assist in contract negotiations by providing information, facilitating communication between parties, and ensuring proper documentation of any agreed-upon changes
  • Monitor contract expiration dates and proactively manage renewals or amendments as necessary
  • Coordinate with relevant parties to make necessary modifications to existing contracts
  • Maintain a centralized repository of all contracts and associated documents
  • Generate reports on contract status, compliance, and performance management review
  • Build and maintain positive relationships with vendors, clients, and other stakeholders involved in the contract process
  • Stay informed about relevant legal and regulatory requirements and ensure contracts meet these standards
  • Continuously evaluate and improve the contract management process to enhance efficiency and reduce risks

Qualifications

  • Bachelor’s degree in business, legal studies, or a related field preferred
  • Previous experience in contract management, administration, or a similar role. Paralegal experience is a plus
  • Strong understanding of contract legal terms, legal requirements, and industry-specific regulations.
  • Excellent communication, negotiation, and interpersonal skills
  • Detail-oriented with strong organizational and time-management skills
  • Detail-oriented with strong organization and time management skills
  • Proficiency in contract management software and Microsoft Office applications
  • Knowledge of project management concepts preferred
  • Legal background or certification in contract management preferred

Physical Requirements

  • Prolonged periods of sitting at a desk and working on a computer.
  • Must be able to lift 15 pounds at times.
