Job description

Our Customer is the world's leading music company that owns and operates a broad array of businesses engaged in recorded music, music publishing, merchandising, and audiovisual content in more than 60 countries. They identify and develop recording artists and songwriters, and produce, distribute and promote the most critically acclaimed and commercially successful music to delight and entertain fans around the world.


We are seeking a Production Operations Coordinator on a contract basis to help support our Customer’s business needs. This role is on-site in NYC.



Responsibilities:

  • Oversee the complete delivery and receipt of all products, materials, and supplies.
  • Enter and maintain updates for styles and orders in Navision (ERP) or shared drives.
  • Track goods on order, work-in-progress (WIP), and in transit to ensure timely delivery.
  • Maintain accurate log sheets and dashboards of daily movements and transactions within product management systems and ERP.
  • Inspect shipment packing lists and verify against invoices and orders for accuracy.
  • Provide tracking visibility and enforce ASN protocols for inbound and outbound shipments.
  • Perform goods receipt activities for incoming products and components within the ERP system.
  • Follow up with vendors and third-party logistics partners to ensure on-time shipments and accurate delivery documentation.
  • Coordinate invoice and coding processes with Finance to ensure timely vendor payments.
  • Collaborate with Product Development, Logistics, Finance, Retail Sales, Design, and Merchandising teams to resolve shortages, damages, specification discrepancies, and delivery issues.
  • Maintain visibility of outstanding production orders and unfulfilled shipments.
  • Create product setup pages, SKUs, and purchase orders within the Navision system.
  • File, maintain, receive, and track purchase orders, pre-production samples, and stock deliveries.
  • Assist with billing processes, including Premium Supply Channel billing support.
  • Provide administrative and reporting support for production and order management activities.
  • Contribute positively to team initiatives focused on improving efficiency and workflow.


Skills and Qualifications:

  • Experience with Navision (Microsoft Dynamics) or a similar ERP system preferred.
  • Proficiency in Microsoft Excel, including VLOOKUPs and Pivot Tables.
  • Proficiency with Microsoft Office applications.
  • Proficiency with Adobe products.
  • Strong attention to detail.
  • Strong organizational skills.
  • Ability to work in a fast-paced, deadline-driven environment.
  • Excellent communication skills.
  • Strong cross-functional collaboration skills.

Preferred Qualifications:

  • College degree preferred.
