Job description

Our customer is a leading global media and entertainment company that creates and distributes a large portfolio of content and brands across television, film, and streaming and is available in over 200 countries and territories and over 45 languages. Headquartered in New York, NY with more than 30 office locations in the United States.


We are seeking a Development/Administrative Assistant on ~6-month contract basis to support their business needs. This role is 100% onsite in Burbank, CA.


Responsibilities:

  • Manage administrative tasks for executives with a workload that includes approximately three active projects, 10 development projects at any given time, and a full-time, multi-program wrestling league.
  • Administrative tasks include, but is not limited to calendars, travel arrangements, tracking calls, managing all expenses and expense reports and creating agendas
  • Interface with staff (at all levels) in a fast-paced environment while remaining flexible, proactive, resourceful, and efficient.
  • Update and process information on internal tracking documents such as EOW Submissions, Weekly Tracking Reports, EOD and EOW Schedules, Reading Lists, Watching Lists, Passing Lists, Follow-Ups, and Call Logs for each of the executives.
  • Complete coverage of incoming material, writing loglines, and taking and writing up meeting notes from pitches, notes meetings, and weekly development meetings.
  • Act as the liaison between departments, including but not limited to communicating material delivery dates (from Production and Post-Production to the executives), payment requests to the business affairs, finance, and legal teams, inputting development deals, etc
  • Expect to be watching 5-10 hours of professional wrestling per week, keeping up with characters and storylines and writing summaries of the previous night’s events. A passion for professional wrestling is a plus.


Qualifications

  • Proficiency in Microsoft Office Suite, particularly PowerPoint - a key skill.
  • Reporting experience
  • 2+ years of desk/executive assistant experience within the entertainment industry; preferably programming.
  • The ideal candidate will be experienced in handling a wide range of administrative and executive support related tasks while working independently with minimal supervision.
  • This person must be exceedingly well-organized and flexible. Must have excellent written and verbal communication skills. And a proven ability to multitask; must be able to prioritize workload of senior executives constantly and consistently while prioritizing the workload of oneself simultaneously.
  • Apply time management and prioritization skills to ensure that both teams have materials that meet all deadlines. Seamlessly split time and focus between two different departments.
  • Ability to maintain a high level of professionalism while interfacing with many executives within the company in addition to writers, producers, talent, and other executives within the industry.
  • Experience in handling sensitive documents and must be trusted with confidentiality.
  • This individual must have a solid understanding of the entertainment industry specifically as it relates to the creative side of the business. Knowledge of production companies, producers and writers.
  • This point of contact role is essential to maintain a successful workflow for two teams and presence in the office is imperative several days a week. Project a positive outlook, uphold a flexible mindset and help contribute to an enthusiastic climate.
