Job description
Our client is a personal values based Financial Planning Firm out of Westlake Village, CA. Building relationships with their clients is at the core of their business and success and they're looking to add an Office Manager who wants to be part of a business that makes a difference in people's lives.
The ideal candidate has Executive Assistant and/or Office Manager experience, is proactive and solutions-minded and is excited about owning process improvement/documentation projects in a long-term, part-time role.
Core responsibilities
- Help manage administrative tasks for the founder/owner
- Handle requests and queries appropriately
- Manage a Client Relationship Manager (CRM) platform
- Client account opening and housekeeping
- Manage the owner's email inbox highlighting priority emails twice a day
- Develop processes for increased efficiency and productivity
- Document processes and systems
- Prepare reports for client account reviews
Qualifications/Skills
- 6+ years experience as an executive administrative assistant, senior executive assistant or in other secretarial position
- Database management skills
- CRM Experience (Redtail CRM preferred but not required)
- Proficient with Microsoft Office 365 products
- Familiarity with DocuSign
- Exemplary planning and time management skills
- Attention to detail and accuracy
- High level verbal and written communications skills
- Comfortable with learning new online platforms and researching best options for the office
Flex-Factor:
- Flexible schedule
- 100% Remote
- Ability to grow within this role
- 10 hours per week to start, with opportunity to expand to 15 if agreed upon
