Job description
Title: Portfolio Operations Manager (Real Estate)
Reports to: Owner/Principal
Location: Remote (U.S.-based preferred)
Compensation: Base salary + performance bonus tied to rent collections and asset performance
Mission
Own the day-to-day operational performance of the real estate portfolio. Ensure every property is either rented, being repaired, or being sold — never sitting idle. Act as the bridge between the owner and the VA team, city inspectors, attorneys, and Section 8 offices.
Success is defined by maximized collections, minimal downtime, and steady forward motion on every property.
Core Responsibilities
- Portfolio Oversight:
Review the full property list daily. Identify bottlenecks (vacancies, unpaid taxes, violations, insurance claims) and move each property toward its next action: rent, repair, or sell. - Problem Resolution:
Take ownership of issues raised by VAs (tenant problems, city violations, evictions, tax issues). Be the “escalation layer” before anything reaches the owner. - Evictions & Legal Coordination:
Communicate with attorneys, sheriffs, and local authorities to ensure outcomes are achieved (e.g., securing a vacant property for sale). - City & Inspector Relations:
Contact inspectors and city officials regarding violations, permits, or extensions. Build goodwill and ensure compliance deadlines are met. - Insurance Claims:
Work with adjusters to maximize payouts, manage contractors, and ensure claims are settled efficiently. - Permitting & Compliance:
Assist tenant-buyers with construction permits, occupancy permits, and Section 8 approvals. - Tax Administration:
Ensure all property taxes are paid on time. Troubleshoot payment portals or coordinate with local offices as needed. - Mail & Documentation Management:
Ensure reliable delivery and scanning of all mail. Eliminate paper check payments wherever possible. - Portfolio Optimization:
Track underperforming or vacant assets and recommend whether to repair, relist, or sell. - Team Management:
Supervise Virtual Assistants. Assign, follow up, and ensure completion of daily operational tasks.
Key Outcomes
- Every property has a clear plan and is moving forward.
- Rent collections consistently meet or exceed target benchmarks.
- No overdue property taxes or unresolved city violations.
- Vacant properties are either being marketed, repaired, or liquidated.
- Owner only needs high-level summaries and decisions — not to chase tasks.
Skills & Qualifications
- Strong understanding of property operations, local compliance, and Section 8 processes.
- Excellent communication and follow-through.
- Ability to troubleshoot issues with cities, tenants, and vendors independently.
- Experience coordinating with attorneys, inspectors, and contractors.
- U.S.-based or fluent/native-level English; familiarity with Midwest/Southern U.S. markets preferred.
- Tech-savvy — able to manage CRM, tax portals, and internal task trackers.
Compensation Structure
- Base: Competitive salary depending on experience.
- Performance Bonus: Percentage of rent collected above benchmark, with bonuses for reducing vacancy and resolving high-value issues.
- Goal: Earn more by keeping the portfolio performing and the owner out of daily operations.
