Job description
Our client is seeking a detail-oriented and enthusiastic Event Assistant to support event planning and coordination efforts. This role is ideal for a highly organized individual with excellent communication skills, a passion for events, and the ability to work collaboratively in a fast-paced environment. The Event Assistant will play a key role in ensuring events run smoothly, exceed expectations, and provide an outstanding experience for attendees and clients.
Key Responsibilities:
- Event Coordination Support: Assist the event planning team in organizing and executing various events, including corporate functions, conferences, fundraisers, and social gatherings.
- Logistics Management: Coordinate logistics such as vendor communication, event supplies, equipment rentals, and transportation arrangements.
- Administrative Tasks: Perform administrative duties, including scheduling meetings, tracking project timelines, organizing files, managing budgets, and maintaining event checklists.
- Communication: Serve as a point of contact for clients, vendors, and participants, ensuring prompt and clear communication throughout the planning and execution phases.
- Marketing and Promotion: Assist with event promotions by creating or editing event materials, updating social media, managing email invitations, and maintaining guest lists.
- Post-Event Follow-Up: Support post-event tasks such as gathering feedback, compiling reports, processing invoices, and assisting with follow-up communications.
Qualifications:
- Education: High school diploma or equivalent required; a degree in Event Management, Hospitality, Marketing, or a related field is a plus.
- Experience: Previous experience in event planning or a customer service role preferred.
- Strong organizational skills and attention to detail
- Ability to multitask and prioritize in a dynamic environment
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint)
- Familiarity with event management software (e.g., Eventbrite, Cvent) is a plus
- Strong communication and interpersonal skills
- Availability: Flexible schedule, with availability for occasional evenings, weekends, and travel as required.
