We are seeking an Event Coordinator on a contract basis to support our Customer’s business needs. This role is hybrid in Mountain View, CA.
Responsibilities:
- Support end-to-end planning and execution of internal and external events, including tech-focused conferences and events.
- Manage all logistical elements: budgeting, registration, booth and collateral coordination, shipping, A/V, catering, speaker management, and on-site execution.
- Serve as the liaison with conference organizers, vendors, internal teams, and executive stakeholders.
- Develop and manage project plans, timelines, and communication flows to ensure alignment across all stakeholders.
- Collaborate with Recruiting, D&I, Brand, and other teams to ensure event programming aligns with business goals and diversity and inclusion strategy.
- Coordinate the participation of employee ambassadors, speakers, and recruiters, including training and briefing materials.
- Collect and analyze event performance data and feedback to continuously improve outcomes and impact.
- Stay current on best practices and trends in D&I programming and tech event planning.
Qualifications
- 4–6 years of event coordination experience, preferably within tech or fast-paced corporate environments.
- Proven experience planning or managing participation in tech events like Grace Hopper, AfroTech, Lesbians Who Tech, or similar.
- Strong project management skills with the ability to juggle multiple events simultaneously.
- Excellent communication and stakeholder engagement skills.
- Experience working cross-functionally across departments including D&I, Talent, and Marketing.
- Comfortable using event management tools (e.g., Cvent, Splash, Airtable, Monday.com).
- Ability to travel 15-20% of the time for event execution.
Preferred:
- Previous experience working in or with tech companies.
- Understanding of inclusive design and accessibility best practices.
- Familiarity with employer branding or talent marketing strategies.
- Experience working with ERGs (Employee Resource Groups) and executive sponsors.
