detail-oriented approach to running them well.


You’ll be working closely with the team to support the logistics and execution of in-person events, helping ensure everything runs smoothly behind the scenes. This role is ideal for someone who enjoys operational work, clear processes, and being the person who makes sure all the details are handled so events can be successful.


About the Role

Seeking a highly organized, detail-oriented Event Operations & Logistics Coordinator to support the execution of our in-person events. This role is focused on hands-on, tactical

coordination, making sure every moving piece comes together seamlessly before, during, and after an event.


You’ll be responsible for ensuring event plans are executed smoothly and accurately. While this role does not require onsite attendance, you’ll be expected to be online and available before,

during, and after events to support real-time coordination and logistics.


This role is ideal for someone who enjoys checklists, timelines, vendor coordination, and being the calm, capable presence behind the scenes when it matters most.


What You’ll Do

You’ll own the logistics and execution of in-person events, including but not limited to:


Pre-Event Logistics & Preparation

  • Coordinate event timelines, run-of-show documents, and logistics checklists
  • Manage vendor communications (venues, catering, rentals, AV, signage, staffing, etc.)
  • Track deliveries, shipments, and inventory for event materials and swag
  • Support registration logistics and attendee flow planning
  • Prepare onsite materials (badges, signage, printed assets, kits)

Real-Time Event Support (Remote)

  • Be online and available during event days and hours to support live logistics and coordination
  • Assist with real-time troubleshooting, vendor communication, and last-minute changes as needed
  • Help manage shipping- and delivery-related logistics during events (e.g., tracking shipped items, confirming receipt, coordinating handoffs)
  • Ensure timelines are followed, and details are executed as planned by coordinating remotely with onsite teams or vendors

Post-Event Wrap-Up

  • Support breakdown, returns, and shipment of materials
  • Track expenses and receipts related to event logistics
  • Assist with post-event notes, learnings, and documentation


Qualifications

  • Experience supporting in-person events and conferences
  • Strong organizational and project-management skills
  • Comfortable juggling multiple vendors, timelines, and details
  • Calm under pressure and solution-oriented onsite
  • Clear communicator who follows through

Nice to Have (But Not Required)

  • Experience with B2B corporate events, brand activations, or experiential marketing
  • Familiarity with event registration tools or spreadsheets for tracking logistics
  • Background in operations, production, or event support roles
