Job description

Our Customer is an American computer and consumer electronics company famous for creating phones and computers. As one of the largest companies globally with a market cap of over 2 trillion dollars, it is a major leader in the space. Although this company was founded in 1976 it has transformed how we connect and communicate worldwide.

We are seeking an experienced Event Planner on a contract basis to support our Customer's business needs. This role is a hybrid setup (onsite 3 days a week) in Cupertino, CA.


Responsibilities:

  • Identify and recommend cities, dates, and specific venues that meet the program’s requirements and budget
  • Research, arrange, and lead site visits with key stakeholders
  • Research, arrange, and lead vendor interviews with key stakeholders
  • Negotiate and execute contracts with selected vendors to company policy, terms and conditions
  • Identify and adhere to Project Milestones
  • Meet regularly (minimum weekly) with Stakeholders, partner cross functionally with teams across the organization to ensure a seamless attendee experience
  • Create, manage, and update program budgets in excess of $1 million
  • Identify, justify, and request any additional budget needs
  • Manage event logistics including but not limited to registration and travel, hotel rooms (as many as 15,000 room nights per program), ground transportation, food and beverage, production/AV
  • Lead and manage hotels, flights, food, and beverage experience for high profile attendees (media)
  • Lead a team of support staff (sourcing, planning, attendee management, travel)
  • Manage and troubleshoot venue and vendor issues onsite
  • Lead the onsite team to ensure an excellent attendee journey
  • Post event, review all invoices for accuracy, process invoices, host debrief meetings, and file all documentation
  • Curate VIP and Executive experiences

Qualifications:
  • 5+ years of progressive prior work and/or leadership experience in a program management, talent management, operational leadership/management role, or event management role.
  • Extensive portfolio of event experience, specifically international event planning and execution
  • Strategy to Execution Program Management for Tier 1 events and experiences
  • Confident and able to communicate the needs of the team to the larger workgroup
  • Comfortable with cross functional workstreams
  • Takes a consultative approach to program planning
  • Clear, concise, and timely communication skills
  • Solutions oriented
  • Comfortable navigating change
