Job description

Our customer provides unsurpassed real estate information, tools and professional expertise across a family of websites and mobile experiences for consumers and real estate professionals through all stages of the home journey. They also offer a complete solution of software products and services to help real estate professionals serve their clients and grow their business in a digital world.



We are seeking an Event Specialist on a contract basis to help support our Customer's business needs. This role is hybrid (3 days on-site and 2 days remote/week) in Scottsdale, AZ.


In this position, you will be responsible for meticulously planning and coordinating participation in trade shows and events. You will work closely to ensure the successful execution of trade shows, from signing up for the event to asset shipping and post-event analysis. Your attention to detail and organizational skills will be vital in making each trade show a memorable and impactful experience.


Schedule: Monday -Friday, 9 am-5 pm or 8 am - 4 pm



Responsibilities:


Trade Show Planning

  • Collaborate with the Event Director to understand event objectives and goals
  • Register and coordinate participation in industry trade shows and events selected by leadership and sales teams

Booth Design & Asset Management

  • Coordinate production of booth assets, including graphics, promotional materials, and giveaways created by internal creative teams
  • Ensure booth assets are properly packed, shipped, and stored for each event
  • Maintain organization and inventory of event materials

Logistics & On-Site Support

  • Manage all logistical aspects of trade show participation, including booth and collateral shipping
  • Send detailed logistics communications to event attendees and internal stakeholders
  • Coordinate with vendors, contractors, and venues to ensure smooth event execution
  • Travel to event locations as required
  • Troubleshoot on-site issues and oversee booth operations during events
  • Supervise labor during booth setup and teardown

Budget Management

  • Support event budget management, including tracking expenses and providing regular reports
  • Identify cost-saving opportunities while maintaining event quality

  • Excellent written and verbal communication skills
  • Willingness and ability to travel as required
  • Strong problem-solving skills with the ability to adapt to changing circumstances
