Job description
We are seeking an Executive Assistant & Events Coordinator who combines administrative excellence with event management skills. The ideal candidate is proactive, organized, and able to anticipate needs while balancing multiple priorities in a fast-paced environment. This individual will support the Executive Director and Director of Marketing & Partnerships through high-level administrative support, program and event coordination, and member engagement.
This role is best suited for someone who enjoys working with C-suite leaders, thrives on details, and takes pride in delivering polished, high-touch experiences.
Executive & Administrative Support
- Provide executive-level administrative support to the Executive Director and Director of Marketing & Partnerships.
- Manage calendars, draft correspondence, prepare reports, and track deadlines.
- Maintain Excel spreadsheets, contact databases, and invitation lists.
- Conduct market research and compile findings into presentations or briefs.
- Handle special projects with flexibility, discretion, and problem-solving skills.
Event Management & Hospitality
- Manage invitation lists, registration, and RSVP tracking.
- Deliver white-glove hospitality, ensuring an elevated guest experience at every touchpoint—from invitations to onsite execution to post-event follow-up.
- Coordinate with panelists, moderators, and subject-matter experts to ensure smooth programming and presentation support.
- Refine and innovate event offerings that reflect the evolving needs of governance professionals.
Marketing & Member Engagement
- Support marketing initiatives, including drafting event communications, and coordinating with sponsors.
- Collaborate with the Director of Marketing on brand, outreach, and partnership initiatives.
- Assist in producing event materials, graphics, and presentations (Canva, PowerPoint).
