Job description

Our Customer is a consumer financial services company headquartered in Connecticut. The company offers consumer financing products, including credit, promotional financing and loyalty programs, installment lending to industries, and FDIC-insured consumer savings products through the consumer bank, its wholly owned online bank subsidiary.


We are seeking an Executive Administrative Assistant on a contract basis to support our Customer’s ongoing business needs. This role is hybrid (3 days on-site and 2 days remote/week) in Stamford, CT.



Responsibilities:

  • Provide administrative support to senior executives within the Finance organization
  • Manage complex executive calendars, meetings, and scheduling changes
  • Coordinate meetings, conference calls, and on-site/off-site events
  • Prepare meeting materials and ensure documents are distributed accurately and on time
  • Arrange complex domestic and international travel, including itineraries and logistics
  • Prepare and reconcile travel and expense reports and corporate purchase card expenses
  • Process statements of work, purchase orders, invoices, and vendor payments
  • Support supplier management activities using Coupa
  • Communicate proactively with executives and stakeholders to resolve scheduling and administrative issues
  • Maintain department calendars and assist with prioritization of executive activities
  • Attend staff and team meetings as required
  • Perform special projects and additional administrative duties as assigned


Skills and Qualifications:

  • 7+ years of Executive Assistant experience
  • Minimum of 2 years supporting senior-level executives in a corporate environment
  • Minimum of 2 years of experience using Coupa or similar supplier management software
  • Experience with supplier management and accounts payable processes
  • Minimum of 4 years of experience using Microsoft Outlook, Word, Excel, PowerPoint, and Teams
  • Experience with Nitro Pro and AMEX Global Business Travel
  • Strong organizational and project management skills
  • Ability to manage multiple priorities in a fast-paced environment
  • Strong attention to detail
  • Excellent verbal and written communication skills
  • Strong interpersonal and stakeholder management skills
  • Strong problem-solving and critical thinking skills
  • High level of integrity, professionalism, and confidentiality
  • Ability to work independently and collaboratively as part of a team

Preferred Qualifications:

  • Extensive experience with Coupa
  • Experience in supplier management and accounts payable
  • Advanced proficiency with Microsoft Outlook, Excel, Word, and PowerPoint
