Job description
Our Customer is a Silicon Valley-based company that is engaged in researching emerging technologies.
We are seeking a contract Executive Administrative Assistant to help support our Customer's business needs. This role is on-site in Mountain View, CA, or the Bay Area.
Responsibilities:
- Provide daily administrative support to executives, including managing complex calendars, agendas, email, calls, travel arrangements, and company logistics
- Coordinate meetings and workshops, including scheduling, confirmations, welcome packets, meeting materials, name badges, signage, and document distribution
- Provide administrative support to the team and perform general office duties
- Order office supplies and manage office facilities
- Coordinate shipping and receiving of team orders
- Assist with office event planning and coordination
- Support new hire and dispatcher onboarding by coordinating equipment, business cards, name plates, and workspace setup
- Respond to miscellaneous requests from the team
- Perform additional administrative duties as assigned
Skills and Qualifications:
- Bachelor's degree
- Minimum of 3+ years of Executive Assistant or Administrative experience
- Fluency in English and Korean
- Proficiency with Microsoft Office and computer applications
- Strong organizational skills and attention to detail
- Ability to manage multiple priorities in a fast-paced environment
- Strong customer service, problem-solving, and communication skills
- Strong written and verbal communication skills
- Ability to work independently with minimal supervision
- Strong time management skills with the ability to meet competing deadlines
- High level of integrity and discretion when handling confidential information
- Ability to work onsite
Preferred Qualifications:
- 5+ years of professional experience in high-tech companies, media companies, or information centers
Physical Demands:
- Ability to perform the essential functions of the role, with reasonable accommodations available for individuals with disabilities.
- Occasionally required to stand, walk, sit, kneel, crawl, squat, stoop, twist, climb stairs, ladders, or scaffolding.
- Use hands and fingers to handle, grasp, feel, and manipulate objects, tools, or controls.
- Reach with hands and arms as needed.
- Communicate effectively by talking and hearing.
- Lift and carry up to 20 pounds occasionally.
- Possess sufficient visual acuity to distinguish the nature of objects and perform detailed visual tasks.
- Operate a computer keyboard and view a computer monitor for approximately 50%–95% of the workday, including prolonged periods.
- Perform work requiring high visual attention to detail (90%+ of the time), including numeric and character recognition, with moderate hand and finger dexterity.
- Work effectively under periodic or cyclical time pressures, including time-sensitive deadlines, intellectual challenges, language barriers, and project management deadlines.
- May be required to work additional hours beyond the normal schedule as business needs dictate.
- Periodic travel may be required.
